Summary:
This role provides high-level administrative support to two firm Partners in Elkhart County - one in Elkhart and one in Goshen. By managing workflows, calendars, communications, and other ongoing responsibilities, this individual helps the Partners work more efficiently and effectively while supporting those who interact with them both within and outside of Kruggel Lawton (KL).
Schedule and locations:
- Full-time standard office hours, with occasional overtime and potential Saturday mornings January-April
- Unless occasional needs arise, Friday afternoons off from Memorial Day through Labor Day, plus the week between Christmas and New Years
- Regularly work from both downtown Elkhart and downtown Goshen office locations
Primary responsibilities:
- Manage assigned Partners’ calendars, scheduling, and meeting logistics
- Interact with KL colleagues, clients, and others to schedule time with Partners
- Maintain continual communication with Partners about their schedules, including changes/updates
- Prepare agendas, meeting materials, and track action items for review/approval
- Suggest improvements to operational processes, workflows, and procedures
- Support event planning, team meetings, and other initiatives as assigned
- Always handle confidential information with discretion and professionalism
- Help manage billing for assigned Partners by gathering and providing reports; fielding their guidance on invoice amounts; and preparing invoices for their review
- As needed, scan and save emails and other documentation for client engagements
Optimal skills and qualifications:
- Prior experience: at least five years of experience in executive support, project coordination, or operations; experience supporting executives in a professional industry preferred
- Organization and accuracy: managing calendars and priorities; attention to detail and follow-through; facilitating multiple priorities simultaneously
- Communication: clear, concise, and professional written communication; tailor messaging for different audiences; listening and relationship-building skills
- Project management: track tasks, deadlines, and dependencies; coordinate across multiple teams; proactively identify risks, issues, and gaps
- Technology and tools: Microsoft 365 Suite (Outlook, Teams, Word, Excel, PowerPoint); SharePoint; Power Automate / Forms; basic Power BI / reporting
- Problem-solving and initiative: anticipate needs before they arise; suggest process improvements and efficiencies; take ownership of outcomes; flexible and adaptive
- Relationship and influence: build strong relationships across office and work teams; gain trust of Partners and staff; function as a connector within the firm
- Discretion and professionalism: handle confidential information appropriately; maintain composure under pressure; represent leadership and the firm positively and professionally, particularly with clients
Pay: $25.00 - $35.00 per hour
