Overview
The role of office administrator acts as the hub for all job-related activities. They are the primary face to our customers through phone conversations and email communications regarding job scheduling, receiving/ processing payments, and general CRM activities. Using this information executively, the office administrator assists in determining morning dispatching procedures, and daily job routes for the technicians. While it’s not a requirement, If the candidate expresses interest in managing all forms of company social media accounts, that opportunity exists for additional growth and compensation. Expansion into sales is also a possibility.
Core Responsibilities/ Expected Duties:
· Receptionist for main office phone line
· Monitor/ manage administrator email inbox
· Main administrator for Field Service Management Software
· Recording customer details
· Recording new work orders
· Technician dispatching and daily route planning
· Job scheduling
· Invoice generation
· Recording receivables
Areas for growth/ additional wages:
Sales
Job scope is not limited to all day in the office. IF INTERESTED, additional basic sales opportunities are available; additional compensation via commission can be considered.
Marketing
Krohn Plumbing & HVAC currently has zero social media presence. If the candidate excels in this area, they could fully manage the company’s social media profile(s). Candidate would work with our marketing/ SEO partner to develop and implement new marketing/ sales strategies and initiatives.
Employee Requirements:
Qualifications (must have’s):
· Positive & energetic phone presence
· Excellent communication skills; written and verbal
· Customer Service oriented
· Attention to detail
· Working basic knowledge of QuickBooks Online
Skills (nice-to-have’s):
· Thorough, expert knowledge in QBO is a plus
· Experience with dispatching/ job scheduling/ CRM/ FSM software is a plus
· Basic social media experience & understanding; expert knowledge/ experience is a plus
· NO INDUSTRY-SPECIFIC KNOWLEDGE IS REQUIRED, but basic plumbing/ HVAC understanding is a big plus
Compensation
$20.00 to 25.00/hr. starting wage --> 90-day probationary period; full employment and opportunity for wage increase after 90 days.
