Position Overview
The Receptionist at Kristen Distributing Company is the first point of contact for visitors, clients, and callers, serving as the face and voice of our organization. This role is essential to creating a welcoming environment and supporting the administrative functions of the office. The Receptionist is responsible for managing front desk activities, handling inbound communications, assisting with daily financial transactions, and supporting internal departments with general administrative tasks.
Key Responsibilities
Your essential duties will include:
- Front Desk Management: Greet visitors warmly, direct them to appropriate staff, and maintain a clean, professional reception area.
- Phone and Email Communication: Answer and direct calls, relay messages, and respond to inquiries with clarity and courtesy.
- Customer Service: Provide a positive experience for all guests and clients, demonstrating patience and professionalism.
- Administrative Support: Perform general administrative tasks including filing, photocopying, scanning, and data entry.
- Invoice Processing: Generate and close customer invoices in the route accounting system, ensuring accuracy and timeliness.
- Payment Handling: Reconcile prior-day cash drawers, deposit checks into company bank accounts, and apply payments to customer accounts.
- Day-End Procedures: Complete Day Shut Down procedures in the accounting system and communicate completion to the appropriate personnel.
- Mail Coordination: Manage incoming and outgoing mail, including coordinating courier services as needed.
- Other Duties: Demonstrate flexibility and initiative by performing other job-related tasks as assigned to support office operations.
