Overview
We are seeking a highly organized, detail-oriented Marketing Operations Manager to oversee internal workflows, ensure project execution stays on track, and drive operational excellence across all marketing departments. This role is critical in maintaining structure, accountability, and efficiency while supporting both team performance and client success.
This is an agency-side role and requires a strong understanding of full-service marketing, including SEO, PPC, social media, graphic design, web development, and photo/video production.
Key ResponsibilitiesProject & Workflow Management- Own and manage project timelines across all client accounts to ensure deliverables are completed on schedule
- Monitor workloads and proactively identify bottlenecks, risks, or delays
- Hold internal teams accountable for deadlines and task completion
- Ensure seamless handoff between departments from onboarding through execution
- Maintain and enforce proper use of Monday.com across all teams
- Ensure all boards, tasks, timelines, and statuses are consistently updated and accurate
- Audit boards regularly to confirm alignment with project timelines and SOPs
- Optimize board structures, templates, and workflows for efficiency and scalability
- Develop, document, and refine SOPs across all departments
- Ensure all team members are trained on and following established SOPs
- Identify gaps in processes and create solutions to improve consistency and quality
- Continuously update SOPs as workflows evolve
- Act as the central point of coordination across departments including SEO, PPC, social media, graphic design, web, and photo/video production
- Facilitate internal communication to ensure alignment on goals, timelines, and deliverables
- Lead internal check-ins and workflow meetings to maintain momentum and clarity
- Support resource planning and team allocation across projects
- Ensure all client deliverables meet quality standards and deadlines
- Work closely with account managers to align internal execution with client expectations
- Proactively address issues that may impact client satisfaction or timelines
- Support onboarding processes to ensure a smooth transition into active projects
- Track and report on project efficiency, team utilization, and operational performance
- Identify opportunities to improve processes, reduce inefficiencies, and increase output quality
- Implement systems that support scalability as the agency grows
- 3–6 years of experience in a marketing agency environment (required)
- Hands-on experience managing workflows across SEO, PPC, social media, graphic design, web development, and photo/video production
- Strong experience with project management tools (Monday.com preferred)
- Proven ability to manage multiple projects and deadlines in a fast-paced environment
- Experience creating, implementing, and enforcing SOPs across teams
- Exceptional organizational, communication, and problem-solving skills
- Projects consistently delivered on time and within scope
- Monday.com is fully up-to-date, organized, and actively used across all teams
- SOPs are clearly defined, followed, and continuously improved
- All departments are aligned and operating efficiently
