We are looking for a Receptionist who enjoys creating a welcoming atmosphere and supporting clients through every step of their visit. This role is ideal for someone who values detail, communicates clearly, and brings a warm, steady presence to the front desk.
What You’ll Do
Client Experience & Front Desk Support
· Serve as the first point of contact for all clients and visitors.
· Ensure every guest receives a true 5-star experience from the moment they arrive.
· Answer incoming calls with professionalism and accurate information.
· Greet and direct visitors promptly and appropriately.
· Support client meetings to help create a smooth and positive experience.
Client Coordination & Communication
· Schedule and coordinate client meetings with accurate details and clear communication.
· Respond to client messages and inquiries in a timely manner.
· Prepare and send welcome packets to new clients promptly.
· Maintain an organized and up-to-date client meeting calendar.
Administrative & Case System Support
· Log activities in the case management system for accurate tracking.
· Receive, rename, and route faxed files by creating tasks for assigned team members.
· Manage incoming and outgoing mail, including scanning and uploading correspondence.
· Create mailing labels for FedEx and other carriers regularly.
Office Operations & Hospitality
· Keep shared spaces clean, stocked, and welcoming.
· Restock supplies, refill the coffee machine, and water office plants weekly (one plant twice weekly).
· Sign for packages and ensure proper internal delivery.
· Monitor the phone and VOIP systems to support smooth daily operations.
