What are the responsibilities and job description for the Kpop Nara Warehouse Manager position at Kpop Nara?
Kpop Nara is looking for a highly organized and proactive Warehouse Manager to oversee our central distribution and online fulfillment center. You will be responsible for the entire lifecycle of our inventory from receiving bulk shipments to distribute across all our Kpop Nara locations to online orders ensuring every customer order is packed with care and shipped on time. Your goal is to optimize warehouse layout, manage a high-functioning team, maintain inventory accuracy and ensure online orders are fulfilled in a timely manner.
Key responsibilities
Inventory & Operations Management
- Oversee, coordinate and inspect in-bound and out-bound shipments by coordinating with the logistics team and vendors.
- Design and implement an efficient warehouse layout (slotting) to maximize storage capacity and minimize pick time for online orders especially high-velocity items like new album releases.
- Lead regular cycle counts and full physical audits to reconcile warehouse stock with our POS and e-commerce systems.
- Work closely with the marketing and ordering team to understand peak fulfillment times and events.
- Maintain adequate levels of packaging materials (bubble wrap, sleeves, boxes) to ensure stock for high volume releases.
Budget & Cost Control
- Track and manage warehouse labor costs, including regular hours, seasonal staffing and overtime. Aim to balance high fulfillment speeds with optimized labor spend.
- Track and manage supply spend. Research and negotiate with vendors for warehouse supplies (boxes, tape, protective wrap, thermal labels). Implement an ordering system for supplies to minimize cash tied up and storage costs.
- Lead initiatives to reduce packaging waste and reuse materials where appropriate.
Strategic Planning
- Work closely with the Marketing Team to stay ahead of upcoming artist comebacks, limited-edition drops or larger merchandise releases.
- Anticipate spikes in order volume based on the marketing calendar. Proactively adjust warehouse staffing, workstation setups and carrier pickups to prevent backlogs during high-traffic periods.
- Coordinate with the Ordering Team to ensure the warehouse is prepared for the arrival of high-volume shipments. Provide feedback on box dimensions and packaging quality to improve storage efficiency and reduce shipping costs.
- Maintaining budgets for labor and supplies.
Fulfillment & Logistics
- Manage the daily pick, pack, and ship workflow for both B2C and B2B orders.
- Liaise with carriers (USPS, UPS, FedEx) to resolve delivery issues.
- Sync with the Data Team to understand real-time fulfillment data by identifying and resolving bottlenecks in the fulfillment line to decrease the shipping lead times.
- Personally execute in-person deliveries to local stores for urgent restocks, high-priority comeback items or event-specific merchandise.
Leadership & Safety
- Recruit, train, and schedule a team of warehouse associates.
- Ensure the facility meets all OSHA safety standards and maintain a clean, organized, and secure working environment.
Customer Service & Order Support
- Act as the primary point of contact for shipping delays, mis-shipments, or inventory discrepancies.
- Oversee the processing of all returned merchandise.
- Handle the filing and tracking of insurance claims with carriers (USPS, UPS, FedEx) for lost or damaged shipments.
- Periodically audit that items are packed not only securely but also aesthetically (e.g., proper placement of freebies, neatness of bubble wrap), recognizing that the product packaging and unboxing is part of the product.
- Occasionally handle high-priority or complex customer inquiries that require technical warehouse knowledge.
- Monitor chargebacks and develop screening processes for high risk / high fraud orders.
Qualifications
- 3–5 years in warehouse or logistics management, preferably in specialty retail or e-commerce.
- Proficiency in inventory management software and Microsoft Excel.
- Excellent communication and interpersonal skills.
- Familiarity with K-pop merchandise types (albums, lightsticks, photocards) is a major plus to help identify and sort inventory accurately.
- Must be able to lift up to 50 lbs and remain on your feet for extended periods.
- Proven ability to handle high-pressure periods, such as major group comebacks or holiday rushes.
