Job Description

We are seeking a highly organized, client-focused, and detail-oriented professional to join our growing independent advisory firm, serving our high net and ultra-high net worth clientele. The Client Services Associate role serves as a critical support partner for the firm’s advisors in a client facing capacity, delivering operational, and service excellence.


The ideal candidate thrives in a fast-paced environment, enjoys building meaningful client relationships, and takes pride in executing complex operational processes with accuracy and efficiency. This position offers a unique blend of financial planning support, client service, and operations management. A successful candidate will have opportunities to build service advisory duties, maintaining direct responsibility for client relationships.


Primary Responsibilities

  • Implement financial planning recommendations by coordinating client onboarding, and new accounts for existing clients.
  • Prepare and process account opening documentation.
  • Facilitate transfers of assets and account consolidations.
  • Monitor account transfer progress and proactively resolve issues.
  • Communicate regularly with clients throughout the onboarding process.
  • Execute client-directed money movement requests with a high degree of autonomy and accuracy.
  • Process distributions, withdrawals, and deposits.
  • Identify tax-efficient distribution strategies when appropriate.
  • Coordinate domestic wire transfers and ACH transactions.
  • Execute account journals and cash transfers.
  • Process Required Minimum Distributions (RMDs) and Qualified Charitable Distributions (QCDs).
  • Coordinate check requests and standing instructions.
  • Verify client instructions and maintain proper documentation.
  • Deliver exceptional service and operational support to existing clients and advisors.
  • Respond promptly to client inquiries and service requests.
  • Prepare and process beneficiary updates, address updates, and other account maintenance requests.
  • Assist with seasonal tax-related requests.
  • Update CRM and workflow systems accurately.
  • Contribute to continuous improvement of client service processes.
  • Firmwide phone group support, as needed.
  • Other Service-related tasks and projects, as needed.
  • Adherence to Koss Olinger Compliance Code of Ethics and Policies and Procedures within all tasks and projects.


Qualifications and Education

  • Minimum Education Required- Bachelor’s Degree in Finance, Accounting, Economics, or related Business curriculum.
  • 3 years of experience in financial services, wealth management, banking, or related field.
  • Series 65 license or willingness to obtain.
  • CFP® certification or CFP® candidate a plus.
  • Strong organizational and project management skills.
  • Exceptional attention to detail and follow-through.
  • Excellent verbal and written communication skills.
  • Strong client relationship management skills.
  • Knowledge of retirement accounts and rollover processes.
