Job Purpose: To provide administrative and technical support to attorneys and the team at all stages of litigation, including investigation, filings, records requests, discovery, and deposition and trial preparation, across matters involving multiple jurisdictions and varying procedural requirements.
Job Description:
• Correspondence: Manages incoming calls, emails, and mail with professionalism and discretion; processes expenses and invoices.
• Calendar: Records relevant dates; anticipates and calculates deadlines across multiple matters; schedules case events, including depositions; plans basic travel for attorneys, clients, and witnesses.
• Court Filings: Drafts routine motions and forms; gathers evidence and prepares exhibits; verifies citations and proofreads; finalizes and files documents in accordance with applicable court rules.
• Multi‑Jurisdiction Coordination: Supports matters involving multiple jurisdictions by coordinating filings, deadlines, and communications with attorneys, local counsel, and external consultants.
• Depositions and Trial: Drafts subpoenas; coordinates with attorneys, opposing counsel, court personnel, and other necessary parties; prepares exhibits; oversees required equipment and technology.
• Discovery and File Management: Utilizes cloud‑based and physical filing systems effectively; requests records; organizes, documents, and maintains evidence across active matters.
• Research: Conducts research using the internet, social media, virtual databases, and legal resources, including local, state, and federal rules of procedure, the Connecticut Practice Book and California‑specific procedural rules, including the California Rules of Court and Code of Civil Procedure.
• Medical Records: Coordinates with the paralegal to locate, request, and organize medical records on open files, communicating directly with medical providers, hospitals, and insurance carriers to obtain complete records.
• Teamwork: Follows up on delegated tasks and assignments; appropriately escalates issues to attorneys or paralegals; collaborates with colleagues to ensure continuity and efficiency across the litigation pipeline.
Required Qualifications:
• 5 years of relevant law firm experience in a litigation setting
• Demonstrated ability to manage multiple matters and competing deadlines with minimal supervision
• Strong professional judgment, organizational skills, and attention to detail
• Clear, polished written and verbal communication skills, including experience interacting with attorneys and external parties
• Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams); Adobe Acrobat; Zoom
• Experience with, or the ability to quickly learn, case management software (Filevine) and legal research tools (Westlaw, etc.)
Salary : $60,000 - $65,000
