KEI is seeking a reliable and trustworthy Office Manager to join our team. Reporting to the Director of Finance and HR, the Office Manager provides crucial support for administration, financial reporting, and event logistics. This position handles confidential business and personal information with discretion and integrity and strictly adheres to ethical standards and labor laws. Acting as a primary point of contact for internal and external stakeholders, the Office Manager exercises judgement and maintains a high level of professionalism, especially in high-pressure circumstances.


This is a full-time, on-site position based in Washington, D.C. with the possibility of one day remote per week, subject to program and office requirements. Applicants must be authorized to work for any employer in the U.S. KEI does not sponsor an employment visa.

Required Responsibilities:


Administrative

  • Act as the Institute’s initial point of contact. Open correspondence and answering queries.
  • Be the liaison between KEI and partners, stakeholders, community, etc.
  • Ensure daily operations run smoothly. Maintain KEI office calendar and coordinate internal meetings.
  • Manage systems for recordkeeping of all important documents using the shared drive.
  • Manage vendor list and software subscriptions.
  • Assist Director of Finance and HR with preparation of reporting and tax filing as well as FARA filing.
  • Responsible for the management of office resources and supplies and maintaining a healthy and safe work environment.
  • Serve as the POC with building management and equipment vendors on maintenance issues.


Event Coordination

  • Coordinate virtual, in-person, and hybrid events and manage event logistics, including travel arrangements and catering services
  • Scout locations, negotiate contracts, and coordinate vendors for off-site events
  • Support in-person events by setting up spaces and preparing event supplies
  • Serve as a key point of contact communicating with participants, attendees, and vendors
  • Occasional travel may be required
  • Perform other duties as assigned


Additional responsibilities may include, but are not limited to:

  • Assisting the Director of Finance and HR with updating and implementing KEI employee handbook and policies and procedures manual
  • Assisting with the recruitment process, including posting job openings, vetting candidates, scheduling interviews, and background checks
  • Coordinating new hire orientation and prepare onboarding documents
  • Maintaining employee records, ensuring compliance with labor laws
  • Assisting with payroll and the documentation of employee compensation and benefits
  • Supporting training programs and workshops


Qualifications:

  • A bachelor’s degree
  • 3-4 years of relevant experience required
  • Exceptional attention to detail
  • Ability to manage confidential information
  • Excellent writing and written and verbal communication skills
  • Financial acumen and project management skills
  • Proficient in Excel and PowerPoint
  • Professionalism in dealing with diverse groups of people
  • Ability to manage multiple projects and consistently meet tight deadlines
  • Willingness to travel domestically
  • Korean language skills not required
