GENERAL FUNCTION:
The Administrative Assistant I is responsible for providing administrative support to multiple departments. Duties include document preparation, meeting coordination, travel arrangements, and assistance with internal and external meeting logistics. The role also includes front desk responsibilities such as greeting visitors and answering incoming calls. The position requires proficiency in Microsoft Office, attention to detail, and a consistent record of punctuality and reliable attendance.
JOB DUTIES AND RESPONSIBILITIES:
· Greet and direct visitors in a courteous and professional manner.
· Answer and route incoming telephone calls; manage messages as needed (low call volume).
· Perform administrative tasks such as filing, data entry, document preparation, and calendar support.
· Assist with scheduling and coordinating meetings, both on-site and off-site.
· Make domestic and international travel arrangements, including transportation, lodging, and itineraries.
· Support the planning and organization of internal and external events, including logistics and materials.
· Prepare and edit documents, spreadsheets, and presentations using Microsoft Word, Excel, PowerPoint, and Outlook.
· Handle incoming and outgoing mail and deliveries.
· Maintain a clean and organized reception and common area.
· Support ad hoc administrative projects as assigned.
MINIMUM JOB REQUIREMENTS:
· REQUIRED: Must be a US Citizen or Permanent Resident. As a defense contractor Kopin is subject to International Traffic in Arms Regulations (ITAR) and you must be a US Citizen or Permanent Resident (green card holder) to be considered for this position.
· Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Ability to learn new or updated software, systems and technologies.
· Strong organizational and time management skills with the ability to manage competing priorities.
· Excellent verbal and written communication skills.
· Excellent organizational skills, ability to multi-task, prioritize effectives and attention to detail.
· Professional appearance and customer service orientation.
· Demonstrated punctuality and consistent, reliable attendance.
· Experience coordinating meetings, travel, and events is strongly preferred.
· Professional demeanor and courteous interpersonal skills.
PHYSICAL REQUIREMENTS:
· Prolonged periods of sitting at a desk.
· Ability to lift up to 20 pounds occasionally.
· Occasional standing, walking, bending, and reaching during event set-up or meeting prep.
· Ability to travel occasionally for off-site meetings or events, as needed.
· Manual dexterity required for operating office equipment.
· Visual acuity for reading documents, spreadsheets and computer screens.
· Ability to communicate effectively in-person, via telephone and via email.
