Primary Job Description

Kopari is seeking a Business Systems Specialist. This Kopari team member will be responsible for end-to-end ownership of ERP (NetSuite) administration, data integrity, and system integrations. This role is pivotal in strengthening cross-functional visibility and efficiency by ensuring seamless connectivity between NetSuite and business-critical platforms. You will partner closely with sales, marketing, finance, operations, and external partners to improve data accuracy, streamline workflows, and support Kopari’s rapid growth and profitability. Reports directly to the VP of Supply Chain & Operations and serves as both a systems lead and strategic partner to stakeholders across the organization.

Key Responsibilities

NetSuite Functional Ownership & Administration:

• Maintain overall system integrity by managing roles, permissions, saved searches, workflows, and customizations.
• Ensure completeness and accuracy of ERP data, driving reliable financial and operational reporting.
• Create and optimize dashboards for business users, improving visibility into KPIs across departments.
• Serve as the primary liaison with NetSuite support, leading troubleshooting and managing issue resolution.
• Train employees on NetSuite functionality, boosting adoption and positioning ERP as the trusted source of truth.
• Manage NetSuite ACS (Advanced Customer Support) hours, partnering with NetSuite consultants to optimize performance, resolve complex issues, and keep the system running at peak speed and efficiency.

Systems & Integrations:

• Direct and monitor integrations between NetSuite and platforms such as WMS, Shopify, Celigo, FarApp, and Lingo.
• Proactively identify and resolve sync errors, ensuring smooth daily order, inventory, and financial data flow.
• Implement new system integrations and enhance existing ones to scale with business needs.
• Activate underutilized NetSuite features to reduce manual tasks, automate processes, and increase system ROI.
• Partner with 3PL/WMS providers to optimize fulfillment processes, reducing order delays and data discrepancies.

Operational & Financial Support:

• Enter assembly builds to capture inbound product costs and supported margin analysis.
• Run purchase order processes for product development, including monthly PO reviews, ensuring accuracy and timeliness.
• Account for landed cost allocations, freight charges, and reconciliation, supporting accurate COGS reporting.
• Support logistics and planning teams with data-driven insights, improving operational decision-making.

Reporting & Process Improvement:

• Design and implement standardized reports and dashboards to provide cohesive business visibility.
• Develop and enforce data entry SOPs to improve accuracy and reduce chargebacks.
• Spearhead chargeback reduction initiatives through process improvements and vendor compliance tracking.
• Manage month-end, quarter-end, and year-end inventory reconciliations, ensuring alignment between operations and finance.

Collaboration & Leadership:

• Act as a customer service champion for internal teams, resolving ERP/system issues quickly and effectively.
• Partner cross-functionally with sales, marketing, finance, and operations to streamline processes and improve efficiency.
• Influence employees to adopt standardized workflows, inspiring confidence in system-driven decision-making.
• Provide clear communication and training across all levels of the organization, from leadership to frontline staff.

Required Skills & Qualifications

• Bachelor’s degree in supply chain, Business, IT, or a related field
• Minimum of 2–3 years of hands-on experience with NetSuite administration and integrations.
• Experience working with consultants or NetSuite ACS preferred.
• Knowledge of freight and 3PL logistics
• Functional expertise in NetSuite ERP (role management, saved searches, workflows, dashboards, and system customizations)
• Experience with integrations across WMS, Shopify, Amazon seller central, Celigo, FarApp, and Lingo.
• Proficiency in EDI integrations (850 855,860,856 and 810) and support
• Strong communication, training, and cross-functional collaboration skills
• High attention to detail; proficiency in Microsoft Office
• Willingness to travel as needed
• Hybrid role with 3 days in office (Tuesday, Wednesday, Thursday)
