THIS JOB IS FOR AN OFFICE MANAGER AT A HEAVY-HIGHWAY CONSTRUCTION COMPANY PERFORMING PROJECTS USING NJDOT SPECIFICATIONS.
Roles include:
Payroll/Union Benefits, Accounts Payable and Receivable, Bookkeeping, Contract Compliance, Insurance/Bonds, Fleet Records, Legal Support, HR, and IT
Tasks include:
Payroll - process union payroll, benefits, taxes, and certified payroll reports
Accounts Payable - check, code, and enter bills into accounting system; process bill payments selected by company owner
Accounts Receivable - generate invoices, track and follow for open receivables, post and record payments
Bookkeeping - track contract values and job profitability; work with CPA to produce financial statements, work with Bank to renew lines of credit
Contract Compliance - produce compliance documents for NJDOT and County owners as required
Insurance/Bonds - work with Agent to renew general lines of insurance and project-specific policies and to update bond program
Fleet Records - maintain lists of current vehicles, equipment, and disposals; process IFTA/IRP returns and renewals; work with CPA to maintain fixed asset schedule; work with Insurance Agent to maintain vehicle and equipment schedules
Legal Support - prepare correspondence and respond to demands for discovery; prepare releases for claims settlement; pursue third-party property damage claims
HR - participate in the selection, hiring, and orientation of new hires; maintain employment records; work with Insurance Agent to renew medical and dental coverage
IT - work with IT consultant to set up new users and equipment; troubleshoot on an as-needed basis
