Job Summary
We are seeking a dynamic and highly organized Administrative Manager to lead our administrative team and ensure the smooth operation of our office environment. This vital role involves overseeing daily administrative functions, managing office procedures, coordinating vendor relationships, and supporting team members across various departments. Responsibilities

  • Oversee daily office operations, including front desk management, multi-line phone systems, and calendar coordination for leadership teams.
  • Supervise administrative staff, providing training, development opportunities, and performance feedback to foster a motivated team.
  • Manage vendor relationships for office supplies, equipment maintenance, and service contracts to ensure cost-effective procurement and reliable service.
  • Coordinate event planning activities such as meetings, corporate events, and staff training sessions to promote team engagement.
  • Handle human resources functions including onboarding new employees, maintaining personnel files, and supporting payroll processing using QuickBooks or similar accounting software.
  • Maintain accurate bookkeeping records, manage budgeting processes, and perform regular filing and record-keeping tasks for compliance and easy retrieval.
  • Support medical or specialized office management tasks as needed, ensuring all administrative procedures adhere to organizational policies.

Experience

  • Proven supervisory experience in an office environment with demonstrated leadership capabilities.
  • Extensive administrative experience with proficiency in schedule management, calendar coordination, and multi-tasking across multiple projects.
  • Hands-on experience with QuickBooks or comparable accounting software for payroll and bookkeeping functions.
  • Strong background in vendor management, budgeting, filing systems, and clerical duties within a professional setting.
  • Excellent communication skills with the ability to handle phone etiquette professionally on multi-line systems.
  • Prior experience in event planning, human resources support, or medical office management is highly desirable.

Pay: $48,000.00 - $59,000.00 per year
