What You Will Accomplish
You will take ownership of aligning and optimizing internal systems, with a primary focus on the Odoo ERP, Odoo CRM, HubSpot CRM, and related operational workflows. You’ll assess current processes, identify operational gaps, and implement scalable improvements that reduce manual work while enhancing data flow and integrity across sales, operations, finance, logistics, and customer support. You will also play a key role in implementing new IT tools and infrastructure across the organization.
This is a high-ownership role for someone who thrives in a fast-moving startup environment, navigates ambiguity well, and is excited to build the internal systems that connect sales, marketing, customer success, finance, and broader company operations. Your work will help establish the operational foundation needed for the teams to scale efficiently, collaborate effectively, and make data-driven decisions.
Responsibilities:
Systems Strategy, Architecture & Management
- Develop and maintain a cohesive systems strategy that aligns Odoo ERP, Odoo CRM, HubSpot CRM, and future tools into a unified operational ecosystem.
- Build scalable architecture supporting automation, data consistency, and cross-functional efficiency.
- Act as the owner of Odoo, the platform powering inventory, manufacturing, and delivery operations.
Process Optimization & Workflow Design
- Evaluate current processes across sales, operations, finance, logistics, and engineering to identify gaps and inefficiencies.
- Design and implement improved workflows, SOPs, and automations that reduce friction and increase team productivity.
Technology Integration & Implementation
- Manage and troubleshoot integrations between Odoo, HubSpot, QuickBooks, and future platforms.
- Resolve issues related to data duplication, sync errors, and workflow misalignment.
- Document integration logic and ensure smooth handoffs between systems.
- Oversee configuration, data syncing, vendor coordination, and user adoption to ensure smooth operational flow.
Cross-Functional Tooling Coordination
- Help select and implement a company-wide phone system that supports cold calling, customer support, and CRM integration.
- Drive alignment across teams on internal tools and process standards.
- Act as the go-to contact for evaluating new tools and preventing redundant or duplicative systems.
How You Will Succeed:
- Proactivity & Ownership: Anticipate operational needs, identify system gaps early, and implement improvements before they become bottlenecks.
- Process-Oriented Thinking: Quickly spot inefficiencies—such as redundant data entry or unclear handoffs—and redesign workflows to eliminate them.
- Communication & Collaboration: Build strong relationships with stakeholders across departments and systems to ensure alignment and adoption.
Requirements:
- 3-5 years of experience in business operations, IT systems, BizOps, or internal tools management—preferably in a startup environment
- Prior ownership or deep familiarity with ERP/CRM platforms such as Odoo and HubSpot
- Experience with software integrations (API-based, Zapier, or custom syncs)
- Strong cross-functional communication skills with both technical and non-technical teams
- Excellent project management abilities with strong attention to detail
- Must be able to commute into office 5 days/week
Additional Qualifications (Nice to Have)
- Experience implementing tools such as 1Password, JAMF, Kandji, or CrowdStrike
- Familiarity with phone/VoIP systems and call-routing workflows
- Experience in healthcare, manufacturing, or logistics environments
- Light scripting, SQL, or Python skills for automation or reporting
Compensation
- Salary range: $100,000 - $110,000 Bonus Options Equity
