We are looking for an experienced, high-initiative, resourceful, and innovative Executive Assistant who excels in a fast-paced environment and enjoys solving problems, improving systems, and supporting leadership.
Position Overview
The Executive Assistant will provide strategic and administrative support to the CEO and leadership team. We are seeking someone who takes initiative, anticipates needs, finds solutions, and helps improve internal operations.
The ideal candidate is organized, proactive, creative, and comfortable wearing multiple hats while helping keep projects, communications, and operations running smoothly.
This role also values someone who is driven and actively engaged in learning about and implementing new AI tools and technologies that support operations, improve efficiency, and help the organization stay ahead in a rapidly evolving digital and AI-driven industry.
Key Responsibilities
Operations & Project Coordination
- Track internal projects, marketing campaigns, and deadlines
- Coordinate tasks across team members and ensure project milestones are met
- Help streamline processes and improve operational workflows
- Assist with vendor coordination and internal systems management
Marketing & Business Support
- Assist with marketing campaign coordination and content scheduling
- Support proposal preparation, client onboarding, and documentation
- Conduct research on tools, vendors, and business opportunities
- Outreach and social media management on LinkedIn and Facebook
- Event planning- identify impactful opportunities for CEO to attend/host and assist in coordination and facilitation
- This is a hybrid role. Over 90% is remote work, <10% in-person for occasional networking/marketing events around Denver Metro.
Client & Communication Support
- Schedule client meetings and follow-ups
- Help manage client communications and records
- Prepare documents, proposals, and contracts
- Support client onboarding and relationship management processes
Executive Support
- Coordinate meetings, prepare agendas, and document key action items
- Manage emails and communications on behalf of leadership when needed
- Prepare presentations, reports, and internal documents
Qualifications
- Bachelor’s degree in Business Administration, Communications, Marketing, Management, or a related field preferred
- Relevant work experience will also be considered
- 4 years experience as an Executive Assistant, Operations Assistant, or Administrative Coordinator
- Strong organizational and time management skills
- Excellent written and verbal communication
- Ability to multitask and manage competing priorities
- High attention to detail and strong problem-solving abilities
- Professional and able to handle confidential information
Preferred Experience
- Experience working in digital marketing, startups, consulting, or agencies
- Familiarity with tools such as:
- Google Workspace
- Monday
- CRM systems
- Canva or marketing tools
- Excel
