Kobi Karp Architecture and Interior Design is seeking a highly motivated and skilled Front Desk Receptionist to join our dynamic team at our firm. As the first point of contact for our esteemed clients, this role demands a well-spoken candidate who excels in managing a variety of responsibilities with finesse and professionalism. This role emphasizes one having someone who is fast paced, motivated, and able to manage our calendar for meetings and an online platform to coordinate appointments and support the scheduling of presentations.
Responsibilities (include but not limited to)
- Office Operations: Assist with the day-to-day operations of the office by ensuring all common areas, workspaces, conference rooms, and facilities are clean, organized, and fully operational.
- Facilities Maintenance: Conduct routine inspections of the office and surrounding properties to identify maintenance, cleanliness, or safety concerns. Report issues.
- Property Inspections: Perform regular walkthroughs of company-owned properties to ensure they remain clean, secure, presentable, and properly maintained.
- Inventory Management: Monitor and maintain inventory of office supplies, kitchen supplies, merchandise, promotional materials, and facility equipment. Receive deliveries, organize inventory, and restock items as necessary.
- Office Support: Assist with moving furniture, carrying boxes, organizing storage areas, assembling office equipment, and preparing meeting rooms or event spaces.
- Kitchen & Breakroom Maintenance: Maintain coffee stations, refill refrigerators, stock beverages and snacks, replenish kitchen supplies, and ensure all breakroom areas remain clean and organized.
- Cleaning & Organization: Empty trash and recycling, maintain cleanliness throughout the office, conference rooms, kitchens, storage rooms, and common areas to uphold company standards.
- Security & Monitoring: Monitor security camera systems, perform routine facility security checks, ensure doors and gates are properly secured, and report any unusual activity or safety concerns.
- Vendor & Delivery Coordination: Receive and inspect deliveries, assist vendors and contractors during scheduled service visits, and coordinate facility-related services with management.
- Equipment Maintenance: Monitor office equipment, appliances, lighting, and facility systems to ensure proper operation. Report maintenance needs and assist with basic troubleshooting when appropriate.
- Event & Meeting Support: Set up and break down conference rooms for meetings, presentations, and events. Ensure all meeting spaces are clean, stocked, and ready for use.
- General Errands: Run company-related errands, transport materials between properties when needed, and assist with miscellaneous operational tasks as assigned.
- Pressure Handling: Thrive in a fast-paced environment while effectively prioritizing multiple operational tasks and responding quickly to changing business needs.
- Physical Requirements: Must be capable of lifting and moving boxes, office furniture, equipment, and supplies weighing up to 50 pounds, and performing physical tasks throughout the workday.
Qualifications:
- Previous experience in a front desk or customer service role is preferred.
- Proficient in using office equipment and computer software, including Microsoft Office Suite.
- Strong organizational and multitasking abilities.
- Ability to adapt to a dynamic, fast paced and high volume work environment.
