Duties and Responsibilities

  • Assist with Front Desk/Receptionist duties: Greet visitors and contact proper party.  Answer and route all incoming calls; Create shipping labels and ensure drop of packages).  NOTE: this position shares Receptionist responsibilities as this person will be seated at the Front Desk 3 days per week (8-5 on Tue, Thu and Fri) in Dalton Kobayashi office.
  • Learn internal computer systems and apply learning to analyze and help get orders shipped.
  • Learn product configurations, pricing tiers and support sales managers and customers.  
  • Research a variety of topics about concerns expressed by the sales team regarding customer orders.
  • Works with Supply Chain Management (SCM) on potential product delays and/or seasonal outages.
  • Determine where the customer order is in the supply chain and if order has been shipped and when; to ultimately communicate with the customer. 
  • When inventory issues arise, determine which customers will be affected, when, and for how long.
  • Provide input to sales team on which products to cross-sell and/or cross merchandise.
  • If the wrong shipping address/order quantity (or other issues identified) is not correct, let sales team know of shortages ahead of time.
  • Help the Head of Sales prioritize orders on limited inventory with sales managers.
  • Work with sales managers in resolving pricing issues or other hold on orders.
  • Assist IT, CS, Accounting and SCM to resolve process issues/CPP/IT-Show pricing issues.
  • Determine if Purchase Orders do not match up with tiered pricing schedules or CPP’s.
  • Evaluate “Hot Orders” to determine if they can be filled quickly.
  • Research information for sales staff for customer presentations, sales calls, and various other support duties.
  • Assist and support sales managers with tradeshow preparation and log budgets, travel arrangements, hotel and rental bookings and help Head of Sales to validate expenses vs. budgets. 
  • Assist in preparation of Quarterly Business Meetings as well as Annual Rep Awards, Rep Meetings and other special duties as assigned.
  • Work effectively, on behalf of the outdoor sales team department and retail and/or e-commerce customers, with other internal departments such as Operations, HR, Customer Service, SCM, IT and Accounting.
  • Occasional (2 -3x annually) travel to attend and work to support sales teams at trade shows.  
Qualifications:

Preferred Qualifications

2-3 years of computer experience.

2-3 years of customer service, sales, marketing and/or business support experience; dealing with customers/public.

  • College Degree preferred, but experience in lieu of degree acceptable. 
  • Must exhibit good computer skills (Microsoft - Word, Excel, PowerPoint, and Google Sheets) and have the desire and capacity to learn new systems (X3, Attack Board and Concur) and apply these new learnings.
  • Be self-motivated to provide various analytical reports and information as required.  This position will support multiple sales managers and assist them with order flow to clear the path for orders to be shipped on time.
  • Temperament and personality should be positive, focused and organized. 
  • Communication skills should be clear and concise; will work and communicate with leadership, internal staff, and external customers.
  • Overall demeanor should exhibit patience and apply critical thinking to problems to help overcome issues and present logical outcomes.

  • Hybrid Role / Normal office working conditions / 3 Days in Office / 2 Days Remote
  • Requires long periods of sitting and computer usage
  • Repetitive usage of keyboard and mouse
  • Occasional lifting of file boxes or dealing with product samples, typically 10-40 pounds
