FRONT OFFICE COORDINATOR
Join Our Team!
We are seeking a highly organized and customer-focused Office Administrator to join our growing team. We are a locally owned company dedicated to helping children reach their full potential while fostering a positive, supportive, and family-oriented workplace culture.
This position is ideal for someone who enjoys interacting with families, multitasking in a fast-paced environment, and serving as the central point of communication for both clients and staff.
Schedule: Monday-Friday, 7:00 AM to 3:30/ 4:00 PM
Benefits: Eligible after 90 days
No evenings, weekends, or major holidays

Position Summary
The Office Administrator is responsible for managing front office operations, supporting client scheduling and communication, maintaining records, processing payments, and assisting with day-to-day administrative functions that help our team provide exceptional service to families.

Key Responsibilities
Front Office & Customer Service
  • Greet clients and visitors and provide a welcoming environment
  • Answer incoming phone calls, emails, and other inquiries
  • Assist current and prospective families with questions regarding services
  • Serve as the primary point of contact for client communication
Client Scheduling & Coordination
  • Schedule parent meetings for prospective clients
  • Schedule assessments upon insurance authorization
  • Communicate schedule changes with parents and staff
  • Maintain daily client schedules and attendance records
  • Track and document client & staff schedules
  • Manage parent and staff communications through the Remind App
Administrative Support
  • Create and maintain client files and records
  • Prepare attendance and dates-of-service documentation
  • Update staff attendance and scheduling records
  • Assist with general office organization and administrative projects
  • Sort and distribute incoming mail
  • Support therapy staff with printing and some data input needs
Financial & Office Management
  • Collect and record client payments
  • Maintain accurate payment ledgers
  • Prepare weekly bank deposits

Qualifications
Required
  • High School Diploma or GED
  • Minimum of 1 year of front desk, receptionist, or administrative experience
  • Strong customer service and communication skills
  • Proficiency with Microsoft Office and basic computer applications
  • Exceptional organizational skills and attention to detail
  • Ability to manage multiple tasks and prioritize effectively
Preferred
  • Experience working in a healthcare, therapy, education, or service-based environment
  • Scheduling and client coordination experience
  • Experience handling payments and maintaining records
