Job Summary
The Registry of Deeds Office Assistant is responsible for the full process of receiving, recording, indexing and scanning of documents, and collection of taxes and fees as applicable. Duties also include assisting attorneys, surveyors, abstractors, and the general public who use the Registry
Responsibilities
- Receives and records deeds, checks for validity and any errors, enters discharges and references on documents, collects fees, inputs data and processes with recording information.
- Scans all documents. Prepares CDs if required by vendor, for vendors to convert to microfilm.
- Checks printed books/computer images against original documents for completeness and mails back original documents when complete.
- Sends abstracts of deeds via mail/email to municipalities as required by statute; send unorganized territories to the State.
- Provides assistance to the public, attorneys, surveyors, abstractors and others with respect to Registry matters and research of historical information.
- Verifies the work of other registry employees and provides assistance as needed.
- Performs clerical duties of the office, including assisting with office correspondence, assisting with tax and fee accounting records, answering phone, typing, data input, filing, making copies, etc.
- Uses computers, phones, printers, fax machine, and general office equipment
Qualifications
- One to two years of general office experience demonstrating office skills and the ability to follow complicated procedures
- Experience in customer service and/or dealing with the public required
- Because of the importance of the office assistants having a thorough knowledge of the legal process and procedures of recording documents and the legal responsibilities required by the deeds office, it is important the office assistants have good judgment and decision making qualities
- Ability to communicate effectively orally and in writing
- Detail oriented
- Skilled in the use of Windows and Microsoft Office Word and Excel
- Ability to be bonded
- Must pass a background check
Pay: $18.84 - $22.08 per hour
