Responsibilities:
- Welcome all visitors at the front desk of the Burlington Regional Office in a friendly and helpful manner
- Answer and direct incoming calls firmwide alongside Klingner’s other administrative assistants
- Manage all incoming and outgoing mail
- Organize the Burlington Regional Office, order supplies, and provide daily administrative and routine clerical assistance to all staff members
- Schedule meetings and organize travel arrangements, as needed
- Assist the Accounting Department with filing, creating contract and billing files, scanning documents, and project closeouts
- Support design teams by proofreading reports for grammar, spelling, punctuation, and format before distribution to clients
- Work with professional staff to post project bids to an online plan room and assist with construction phase documentation
- Maintain project files, including hard copies and electronic formats
- Scanning existing paper project documents and saving to electronic format
- General cleaning of main work areas
- Support staff by ordering lunch as needed for various meetings
- Plan and organize office and project-specific outings and events
- Perform other duties as needed
NOTE: This is a full-time position with the hours of 8:00am – 5:00pm.
Qualifications:
- High School diploma or equivalent required; 2 years of college is preferred
- 2 years of experience in a secretarial, administrative assistant, or project coordinator position is preferred
- Proficient in all Microsoft Office applications, particularly Microsoft Excel and Word
- Experience working with Wildix phone systems software is a plus, but not required
- Excellent verbal and written communication skills are required (including grammar, punctuation, proofreading, spelling, interpersonal, and telephone)
- Strong organizational skills, efficient time management, and a great ability to understand task directions is essential in this role
- Ability to work and meet deadlines in a fast-paced environment with competing priorities
- Must have a professional disposition and present a business casual appearance
- Knowledge of the A/E industry is a plus
