Overview
We are a boutique plastic surgery practice looking for a Patient Coordinator to lead the front of house. You are the first person patients see and the first voice they hear, and you set the tone for their entire experience. The right person is warm, polished, and high energy, with the care to make each patient feel looked after and the focus to keep a busy day running smoothly.
What the day looks like:
- Welcome and greet every patient, and keep the front of house calm, professional, and friendly
- Room patients and turn over rooms efficiently between appointments
- Capture clinical and before and after photography to a consistent, high standard. This is central to the role
- Handle phone inquiries with clarity and care, and help prospective patients take the next step toward a consultation
- Build accurate, complete patient charts with strong attention to detail
- Serve as the point of contact between patients and our insurance team for insurance cases
- Help manage our social media presence, showing the office, the work, and the team
- Represent the practice professionally and positively at every touchpoint, with discretion
Who we are looking for:
- A warm, polished, high energy presence that puts people at ease
- Strong phone and communication skills, comfortable guiding a prospective patient toward booking a consultation
- Real photography experience and a good eye, comfortable with standardized clinical and before and after images
- Excellent attention to detail and reliable follow through
- Comfort with social media and a sense for presenting a brand well
- Care and discretion with confidential, sensitive information
- Experience in a medical, aesthetic, hospitality, or luxury service setting is a plus
Skills
- Familiarity with medical office procedures including appointment scheduling, record management, and patient communication.
- Excellent organizational skills to handle multiple tasks such as coding, billing, appointment coordination, and record keeping simultaneously.
- Effective communication skills for liaising between patients, providers, insurance companies, and internal teams.
