Job Description: Office Manager
The Kitty Cottage Adoption Center is a loving, no-kill, cage-free, non-profit shelter and adoption center for homeless cats with a strong focus on mission, vision and values. Kitty Cottage has a unique culture and is in a growth phase which we believe creates a compelling opportunity for the right candidate. We are seeking a qualified office manager to support the organization’s continued growth and increased engagement in the East Norriton community.
This person will report to the following people:
- Primary responsibilities of financial record keeping - President of the Board
- Move related activities – Construction Project manager (TBD)
- All else - KCAC Shelter Director
Location: This is an on-site role.
Responsibilities and activities:
Financial
- Accountability for timeliness of financial records
- Work with bookkeeper and accountant to ensure accurate and timely financial records
- Maintain accurate files with receipts and background financial data
- Accountability for accounts payables
- Accountability for bank deposits
- Annual tax information to all donors
- Ensure all fees and income are accounted for
- Works with board and shelter director on any needed audit preparations
- Communicate information regarding donations
- Office Management
- Ensure office files are maintained and secured.
- Ensure office area is neat and clean
- Accountability for maintaining inventory records and ordering supplies as needed
- Support and guidance to shelter guests as needed
- Promote safety of all animals
- Public Face of Kitty Cottage as needed
- Answer phones
- Ensure voice mails are directed to appropriate party
Kitty Cottage Move
- Work with Kitty Cottage Move PM to ensure all move logistics are prepared and Kitty Cottage staff are aware of timelines
- Develop detailed proposal for new furniture and office equipment for new facility along with anticipated costs and delivery timelines
Other tasks as time allows
- Work closely with the Shelter Director and Assistant Manager on all policies and procedures
- Assist in other administrative duties and daily operations as appropriate
Kitty Cottage is a collaborative environment and this role may be asked, when volunteers are not available and the shelter director and shelter manager are not onsite, to do light cleaning and/or laundry in order to ensure a clean and hygienic environment for our residents.
Competencies:
- Computer literate, with QuickBooks experience a plus.
- Is proficient in written and spoken English
- Has excellent skills to multi-task, is flexible and highly self-organized
- Has excellent Planning and Organizational Capability
- Has great Interpersonal skills
- Is independent, “sees” where you can support and add most value
