General Job Summary
The department assistant serves as a welcoming and central point of contact for Global Learning, supporting staff, faculty, and community through strong administrative coordination. This role ensures smooth day-to-day operations by managing communications, budgets, records, and providing responsive, inclusive, and respectful customer service.
The typical work schedule for this position will be Monday through Friday from 8 am to 5 pm.

- Manage calendars, prepare agendas and minutes, and maintain departmental documents.
- Initiate and track purchases, international travel forms, international agreements and contracts, international health insurance, reimbursements, part-time payroll authorizations, purchase orders, and other documents as needed.
- Maintain budget and expenditure records, including PCard reconciliation.
- Provide comprehensive administrative and student support, including assisting faculty, staff, and students with access to systems, materials, information, and referrals to appropriate Global Learning or college services.
- Manage and maintain departmental operations and records, including Microsoft Teams site, shared drives, contact information, files, spreadsheets, and data entry in relevant systems.
- Support communications, outreach, and marketing efforts by drafting and sending department communications under direction, and assisting with development of materials such as invitations, emails, newsletters, signage, and brochures.
- Coordinate office and program logistics, including printing, mail distribution, supplies, equipment maintenance, clerical tasks, and assistance with department activities and events.
- Provide customer service by responding to or redirecting inquiries via phone, email, or in person, and overseeing hiring, supervision, and budgeting for work-study staff.
- Perform other related work duties as assigned.

- Possess a good working knowledge of personal computers and Microsoft Office products, with an emphasis on Word and Excel.
- Knowledge of standard office equipment.
- Bachelor’s degree in a related field.
- Experience with people skills and cross-cultural communication.
- Experience in an educational setting.
- Experience living and/or studying abroad.
- Knowledge of other languages and cultures.
- Enthusiasm about the community college and ability to relate well to the wide variety of people we serve.
