Overview
We are seeking a friendly, organized, and dependable Part-Time Office Manager to join our busy chiropractic practice. The ideal candidate enjoys working with people, is eager to learn, and takes pride in creating a warm and welcoming experience for every patient.
This role oversees the daily operations of our chiropractic office, including scheduling appointments, welcoming patients, answering phones, maintaining patient records, assisting with billing and insurance, and ensuring a positive, efficient experience for both patients and staff. The ideal candidate is organized, detail-oriented, friendly, and able to multitask while providing exceptional customer service in a fast-paced environment. Previous experience is helpful but not required—we are happy to train the right candidate.
While this position begins on a part-time basis, we are looking for someone who is eager to learn, enjoys working as part of a team, and is open to taking on additional hours in the future as the needs of the practice change.
Duties and skills
- Greet patients warmly and provide exceptional customer service.
- Manage the front desk, answer multi-line phones, schedule appointments, and coordinate the daily patient schedule.
- Verify insurance benefits, process patient payments, and assist with billing and maintaining accurate financial records.
- Maintain patient records while ensuring confidentiality and HIPAA compliance.
- Order and manage office and clinical supplies and coordinate with vendors as needed.
- Assist with bookkeeping tasks, including invoicing, expense tracking, and financial recordkeeping (QuickBooks experience is a plus).
- Support the doctor and office staff with administrative tasks and help maintain an efficient workflow.
- Assist with onboarding and training new team members as the practice grows.
- Help create a welcoming, clean, and organized office environment for patients and staff.d, Excel, Outlook) and spreadsheets for data analysis and reporting
- Experience with accounting software such as QuickBooks or similar financial software
- Demonstrated ability in event planning, vendor management, and schedule coordination
- Supervising experience with a focus on team management and training development
- Excellent communication skills for client interaction, team collaboration, and phone etiquette
- Strong organizational skills to handle multiple priorities efficiently in a fast-paced environment
- Knowledge of human resources processes including payroll administration and employee onboarding
- Ability to handle sensitive or confidential information with discretion and professionalism
- Familiarity with medical office management or similar environments is a plus but not required
