Job Summary
We are seeking an energetic and detail-oriented Receptionist/Scheduling Coordinator to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and visitors, providing exceptional customer service while managing appointment scheduling and administrative support. Responsibilities

  • Greet patients and visitors warmly, ensuring a positive first impression and delivering outstanding patient service.
  • Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and clear communication.
  • Schedule patient appointments efficiently using electronic health record (EHR) systems such as Epic, Meditech, Athenahealth, eClinicalWorks, or Dentrix, while coordinating provider availability.
  • Verify insurance coverage and benefits, including Medicare and Medicaid, ensuring accurate insurance verification prior to appointments.
  • Collect and review patient documentation, including intake forms, medical histories, and care plans, maintaining compliance with HIPAA regulations.
  • Maintain accurate medical records by filing documents correctly in electronic or paper-based systems like Eaglesoft or Dentrix.
  • Assist with billing processes by understanding basic medical billing procedures, CPT coding, ICD-10/ICD-9 coding, and documentation review to support smooth claims submission.
  • Support clinic operations through administrative tasks such as data entry, filing, typing reports, and managing office supplies.
  • Collaborate with clinical staff to ensure timely appointment scheduling and patient flow management.
  • Handle sensitive health information with confidentiality and professionalism in accordance with HIPAA standards.
  • Utilize computer skills across various platforms including Microsoft Office Suite to prepare reports and correspondence as needed.
  • Perform other clerical duties such as faxing, scanning documents, and managing incoming correspondence to support overall office management.

Experience

  • Prior experience in a medical office setting or healthcare environment is highly preferred.
  • Demonstrated proficiency in EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks, Eaglesoft or Dentrix is essential.
  • Strong knowledge of medical terminology, ICD coding (ICD-10/ICD-9), CPT coding, and insurance verification processes.
  • Experience with medical billing or collections related to medical services is advantageous.
  • Excellent customer service skills combined with professional phone etiquette and active listening abilities.
  • Bilingual capabilities are a plus to serve diverse patient populations effectively.
  • Proven clerical experience including filing, data entry (10 key typing), multi-line phone handling, and office management tasks.
  • Familiarity with dental terminology and dental office procedures is beneficial for dental clinic settings.
  • Ability to adapt quickly in a fast-paced environment while maintaining accuracy and attention to detail.
