Duties
- Manage all administrative functions related to construction projects, including scheduling, filing, and record-keeping to ensure accurate documentation and compliance.
- Supervise office staff, including clerical personnel and administrative assistants, providing training and development opportunities to enhance team performance.
- Coordinate with vendors, suppliers, and subcontractors to facilitate timely delivery of materials and services, maintaining strong vendor relationships.
- Oversee project budgeting, bookkeeping, and payroll processes using tools such as QuickBooks to track expenses and manage financial records accurately.
- Handle human resources responsibilities such as onboarding new team members, managing employee files, and ensuring adherence to company policies.
- Manage front desk operations, including multi-line phone systems, calendar management for project schedules, and phone etiquette to ensure professional communication at all times.
- Organize events related to project milestones or team-building activities through event planning expertise.
- Support medical office management tasks if applicable within the construction site environment or related facilities.
Qualifications
- Proven experience in office management within a construction or similar industry setting with supervisory responsibilities.
- Strong organizational skills with the ability to manage multiple schedules and prioritize tasks effectively.
- Proficiency in QuickBooks for bookkeeping, payroll processing, and budgeting tasks.
- Excellent communication skills—both verbal and written—to interact confidently with vendors, team members, clients, and stakeholders.
- Experience in vendor management, contract negotiation, and maintaining professional relationships.
- Familiarity with human resources functions including onboarding, training & development, and employee record keeping.
- Knowledge of office procedures such as filing systems, calendar management, multi-line phone systems, and front desk operations.
- Ability to handle clerical tasks efficiently while maintaining attention to detail in a fast-paced environment.
