The Office Coordinator is responsible for the day-to-day management and supervision of office services, facilities, hospitality, and conference center operations. This role oversees mail services, copy/print operations, office supplies, vendor relationships, space management, and internal meetings and events. The position also serves as a key resource for court runs, meeting planning, and reception. Colorado: The anticipated full-time annualized salary range $58,000 - $65,000.

Key Responsibilities
Reception & Hospitality
- Answer and route incoming and internal calls; greet, register, and assist clients and visitors.
- Manage conference room scheduling, videoconferencing, refreshments, and room readiness.
- Coordinate offices and logistical needs for visiting personnel.
- Maintain parking validation accounts.
- Ensure reception and common areas are orderly and secure; follow security and emergency procedures.
- Reconcile office credit card receipts and invoices.
- Serve as primary liaison with property management, building engineers, IT, and outside vendors for services, deliveries, billing, and maintenance.
- Manage access cards (issue, cancel, maintain database).
- Maintain inventory and stocking of office, kitchen, conference room, printer, mail, and copy supplies.
- Sort and distribute incoming mail; prepare outgoing and overnight mail to meet deadlines.
- Assist with office moves, maintenance requests, and daily walk-throughs to identify and coordinate repairs.
- Manage new hire and departure office processes, including setup, equipment, keys, nameplates, and office resets.
- Maintain professional appearance of corridors, reception, elevator lobby, and glass surfaces throughout the day.
- Review, code, and process vendor invoices; research client/matter or general ledger numbers as needed.
- Respond to vendor inquiries and resolve accounts payable discrepancies.
- Coordinate professional photo sessions for attorney new hires.
- Assist with client events, including room setup/breakdown, catering coordination, and guest materials.
- Assist with special projects related to filings.
- Provide copying, scanning, binder preparation, and rush job support.
- Prepare correspondence, memoranda, reports, and other documents as needed.
- Member of the Crisis Management Team; maintain Business Continuity Plan and document disaster recovery exercises and events.
- Liaison with property management for emergency and evacuation procedures.
- High school diploma required; bachelor’s degree preferred.
- Minimum three years of facilities or office services experience, preferably in a law firm or professional services environment.
- Proficiency in Microsoft Word, Excel, and Outlook; Aderant experience preferred.
- Strong organizational, communication, and interpersonal skills with attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Professional demeanor with strong client service orientation.
- Self-starter able to work independently, exercise sound judgment, and maintain confidentiality.
- Flexible, adaptable, and collaborative with a positive attitude.
