Description
The Corporate Facilities and Lease Coordinator will play a key role in supporting the company’s physical infrastructure and operational efficiency. This individual will oversee day-to-day facilities operations across multiple office locations, manage mailroom functions, coordinate office closures and transitions, and maintain accurate lease records using Visual Lease. They will act as the central point of contact for all facility-related matters, ensuring our workspaces remain safe, functional, and aligned with company standards.
This position will be based out of our Gainesville, FL office Monday - Friday and will report to the Director of Operations.

Requirements
Lease and Property Management:
- Manage and maintain lease documentation and key dates (renewals, expirations, terminations).
- Administer leases using Visual Lease software (strongly preferred).
- Coordinate office closures, openings, and space consolidations in partnership with real estate and leadership teams.
- Oversee all aspects of facility operations across corporate offices.
- Manage signage, office branding, and physical office standards.
- Coordinate repair, inspections, and preventative maintenance services through vendors and internal teams.
- Serve as first point of contact for facility related issues across all locations
- Maintain contracts, certificates of insurance, and service level agreements
- Manage office supplies orders, maintain the database, coordinate with offices on their orders
- Supervise and coordinate daily mailroom operations, including mail distribution, shipping/receiving, and courier services.
- Handle mail forwarding, change-of-address processes, and ensure mail continuity during office closures.
- Maintain mail logs and work with departments to meet delivery needs.
- Maintain detailed facility and lease records and generate reports as needed.
- Track facility-related budgets and expenses; process invoices and reconcile charges.
- Support contract management for vendors and service providers.
- Manage internal requests related to office access, space changes, or facility issues.
- Strong organizational skills with keen attention to detail.
- Excellent communication and problem-solving abilities.
- Proficient in Microsoft Office Suite; ability to learn new systems quickly.
- Adept in coordinating across multiple departments and external vendors.
- Ability to manage multiple tasks and projects simultaneously in a fast-paced environment.
- Associate's or Bachelor’s degree in Business Administration, Facilities Management, Real Estate, or related field.
- 3 years of experience in facilities coordination, lease administration, or real estate operations.
- Experience with Visual Lease software is highly preferred.
- Experience overseeing multi-site facilities.
- Working knowledge of lease terms, facility maintenance, and vendor management.
- Familiarity with office space planning and move coordination.
