To be considered for this opportunity, you must at a minimum demonstrate the knowledge, skill, and ability to:
- Process personnel transactions such as new hire paperwork, protected leaves, benefits information, reclassification requests and related activities; interpret and apply policies and procedures.
- Act as a system administrator for PeopleSoft HCM and other software programs by managing data; providing training, responding to users’ inquiries, resolving complaints; and generating reports.
- Coordinate onboarding activities. Correspond with candidates, complete hire letters and other hiring documents, deliver information to candidates, hiring managers, and other units/departments, and perform weekly first day onboarding activities in person.
- Utilize software applications (e.g., PeopleSoft, Neogov, Laserfiche, Word, PowerPoint, and Excel) to create and maintain accurate personnel records., generate reports, create presentations, and prepare written materials.
- Manage records by ensuring timely creation, maintenance, and archiving documents/files to support historical accuracy; compiling information, documents, and records for public records act requests; and following records retention and destruction procedures in accordance with legal requirements.
- Deliver excellent customer service by responding to inquiries and delivering informational assistance to applicants, employees, and other customers, and coordinating with other units/departments to obtain information and/or to share information.
- Perform general office support by preparing correspondence and reports, scheduling meetings and appointments, researching and compiling information, maintaining assignment logs, updating templates and websites, and making recommendations for process improvements and streamlining procedures.
- Review, scan, label, file, and audit human resource and operational documents, including but not limited to confidential documents, documents subject to public disclosure, and personnel records; prepare, maintain, and reconcile indexes and inventory tracking systems.
- Provide team recruitment support and coordination. Participate in the recruitment and selection process by scheduling interviews, communicating with internal and external applicants over the phone, email and in person, preparing interview materials, proctoring exams, and administering applicant tracking, testing, references/background checking, and pre-employment physicals.
We are looking for candidates who:
- Have the ability to provide high-level administrative support to professional staff; OR any combination of education and experience that clearly demonstrates the ability to perform the job duties of the position.
- Have experience with Human Capital Management (HCM) and applicant tracking systems. Understands how to navigate HR Systems, run queries, and process payroll or HR transactions. The County uses PeopleSoft.
- Have strong customer service, organizational, analytical, time management, communication, and interpersonal skills, including the ability to work well independently and as part of a team, including providing high-level administrative support to professional staff.
- Are familiar with the full-cycle recruitment process.
- Are proficient in using office productivity suite (Word, Excel, SharePoint, PowerPoint, Teams) in daily work.
- Have the ability to work on multiple tasks requiring a high degree of detail and accuracy in a high pressure/short deadline/precise schedule environment.
- Can maintain high degree of confidentiality with sensitive and personal information while demonstrating fairness, respect, and inclusiveness.
- Have the ability to be self-directed and effectively plan, organize, prioritize work on a daily basis.
- Have an interest in human resources management and employment-related federal and state laws and regulations.
Work location: The DCHS Human Resources team works in a hybrid model, with days in the office as well as telecommuting. The ratio of remote to onsite work will be dependent on business needs and is subject to change. The primary onsite location is Chinook Building, 401 5th Ave, 5th floor, Seattle, Washington 98104.
Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.
King County has a robust collection of tools and resources to support working remotely. The individual selected for this opportunity will join an innovative and progressive team that is redefining how we work as we transition to the department's hybrid environment. Employees will be provided with a County-issued laptop and must maintain a home workspace with an internet connection where they can reliably perform work and remain available and responsive during scheduled work hours.
Work schedule: Specific work schedule; Monday-Friday, 8:00am-5:00pm. This position is Non-Exempt from the provisions of the Fair Labor Standards Act and therefore is overtime eligible. Employees are paid on a bi-weekly schedule, every other Thursday.
