Summary



Public Health – Seattle & King County’s Community Health Services Division is hiring for a career service Administrative Specialist II to join its team! This position supports a broad range of administrative support services, with primary focus on clinic/ program operations and program support, in a fast-paced public health center environment that are used by economically, socially, and culturally diverse populations. The successful candidate must have excellent customer service skills, in-person and over the telephone (discretion, patience, etiquette professionalism), critical thinking skills, and must be an independent self-starter with excellent time management and organizational skills. The candidate must be able to work with supervisors and staff to develop and promote a team-centered atmosphere to facilitate operations which are efficient and provide maximum service delivery to clients.

Work Schedule
Typical work schedule is Monday through Friday, from 8:00 am to 5:00 pm. This is a non-exempt position and is subject to the provisions of the Fair Labor Standards Act and is overtime eligible.

Work Location
The primary work location of this position will be at the Auburn Public Health Clinic, located at 901 Auburn Way N., Suite A, Auburn, WA 98002. This is a direct patient service role at the clinic and there is no telework available.

Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.

Job Duties

  • Serve as an initial contact for clients when they come into or call a Public Health Center.
  • Welcome all clients, providing exceptional customer service, which includes treating all people with respect and warmth.
  • Utilize language interpreters when appropriate to meet clients' needs.
  • Identify when to triage by a healthcare professional is necessary and quickly identify potential emergency situations.
  • Register, schedule and reschedule client appointments for a variety of site-based programs, requesting corresponding financial and insurance information, verify insurance coverage, entering insurance coverage into our EHR (EPIC) system, calculate fees, and collect payments as indicated by program, division, department or County, State or Federal financial policies.
  • Provide assistance and referral support to those clients needing medical insurance, housing/food assistance and or ORCA cards.
  • Coordinate patient and information flow while maintaining patient confidentiality and complying with Federal HIPAA laws.
  • Accurately complete insurance information documentation along with other patient registration documentation data entry into our EHR (EPIC) for billing in a timely fashion.
  • Process internal and external referrals for all staff at the site.
  • Make appointment reminder calls and outreach phone calls, make copies, fax, US mail pick up, King County fleet vehicle repositioning at the end of the day for safety reasons and other general office and clerical duties.
  • Provide full support to administrative office & janitorial inventory and supply efforts regularly: to include but not limited entire site inventory and supply management, placing requests for supplies to site-based buyer, confirming receipt of ordered supplies and providing that delivery receipt to buyer, and placing received supplies in appropriate storage areas.
  • Provide complete site, division, department and County based medical records administrative support to include but not limited to: chart preparation, complete document preparation for EHR record scanning, scanning into EPIC Hylands OnBase, and indexing all scanned records on a bi-weekly basis.
  • Be able and willing to provide administrative support to multiple programs potentially at multiple varying sites within Seattle & King County Public Health.
  • Move up to 25 pounds in order to move boxes, retrieve health records, or replenish office supplies without reasonable accommodation.
  • Other duties include using a variety of computer programs including Epic (an electronic health record program), Infolinx look up, and Microsoft Office products.

  • Are computer-savvy and able to learn to use new computer programs and technical tools quickly.
  • Proven 1 year of EPIC training and skills in a healthcare facility.
  • Are action-oriented and able to quickly prioritize, use time effectively and efficiently, are skilled at identifying and eliminating barriers, and are willing to ask for help to accomplish tasks.
  • Enjoy working with a team, are cooperative, encourage collaboration, and can work with teammates to find collectively beneficial solutions.
  • Maintain confidentiality of client information.
  • Know their strengths and weaknesses, seek feedback, will admit their mistakes, and quickly learn from them.
  • Can maintain their composure under pressure.
  • Are committed to working with diverse populations with cultural humility.
  • Able to move up to 25 pounds in order to move boxes, retrieve health records, or replenish office supplies without reasonable accommodation.
  • Washington State Driver's License.
  • Ability to travel within the designated territory.

  • Proven 3 years of EPIC training and skills in a healthcare facility.
