Position Summary:
The Office Administrator supports daily office operations, administrative tasks, and customer service for mixed 7D and school bus operations. This role coordinates schedules and records, assists with driver and vehicle documentation, manages communications, and ensures regulatory compliance. Strong organizational skills, attention to detail, and familiarity with transportation or DOT/CDL requirements are preferred.
This is a Part Time role with the opportunity to develop to Full Time for the right candidate.
Hours: 7AM- 3PM (Subject to seasonal adjustments and peak-period scheduling.)
Key Responsibilities:
- Serve as primary phone/email contact for parents, schools, drivers and vendors.
- Coordinate route and schedule changes.
- Manage and maintain the CEO’s and office-wide calendars, ensuring accurate scheduling and coordination.
- Maintain accurate driver files: CDL copies, medical certificates, background checks, training records, and licenses.
- Track vehicle documentation: registrations, insurance, inspections, maintenance logs, and DOT-required paperwork.
- Process and file trip manifests, student/ passenger rosters, incident reports, and accident documentation.
- Prepare, enter, and reconcile payroll-related data for drivers (hours, timesheets, leave).
- Assist with billing, invoicing, and basic accounts receivable/payable tasks; coordinate with accounting.
- Maintain office supplies, equipment, and recordkeeping systems (digital and paper).
- Assist with new-hire onboarding, scheduling orientation, and coordinating drug/alcohol testing or random pools per regulations.
- Ensure compliance with state and federal regulations relevant to school bus and 7D operations; assist with audits.
- Support emergency notifications and parent communications when needed.
- Perform other administrative duties and special projects as assigned.
Required Qualifications:
- High school diploma or equivalent; associate degree or undergraduate degree preferred in lieu of lack of administrative experience.
- 4 years office/administrative experience; transportation industry, school bus, or DOT/CDL environment strongly preferred.
- Proficiency with Google Suite (G-mail, Docs, Sheets) or Microsoft Office (Excel, Word, Outlook).
- Excellent verbal and written communication skills and strong customer service orientation.
- Strong organizational skills, accuracy, and ability to manage competing priorities.
- Ability to handle confidential information with discretion.
- MUST pass a background check
Preferred/Helpful:
- Knowledge of DOT/FMCSA and state school bus regulations and recordkeeping.
- Driver’s License Preferred
- Experience with payroll systems and basic bookkeeping.
- Bilingual (Spanish/Creole/English) a plus.
Physical/Work Environment:
- Standard office environment; occasional lifting of up to 25 lbs (files/supplies).
- May require flexibility for occasional evening or early-morning communication during service disruptions or special events.
