Bookkeeper / Accounting Specialist (Nonprofit)

Pay: $30.00 - $35.00 per hour
Position Summary
We are seeking an experienced Bookkeeper / Accounting Specialist to oversee the day-to-day financial operations of our nonprofit organization. This position is responsible for maintaining accurate financial records, managing accounts payable and receivable, supporting payroll, preparing financial reports, and ensuring compliance with nonprofit accounting standards. The ideal candidate is detail-oriented, organized, and experienced with Intuit QuickBooks Online.
Essential Duties & Responsibilities
- Maintain accurate and up-to-date financial records in Intuit QuickBooks Online.
- Process accounts payable and accounts receivable, ensuring timely payments and collections.
- Reconcile bank accounts, credit card statements, and general ledger accounts.
- Prepare monthly financial statements, reports, and assist with financial forecasting.
- Support payroll processing and ensure timely filing of payroll taxes and required tax forms.
- Assist with budget preparation, monitoring, and month-end and year-end closing activities.
- Collaborate with the Executive Director and outside accounting professionals on annual financial reporting and tax preparation.
- Ensure compliance with nonprofit accounting principles, internal financial policies, grant requirements, and applicable federal, state, and local regulations.
- Support grant-related financial activities, including budget development, expense tracking, financial reporting, and compliance.
- Assist the Executive Director with grant solicitations by preparing financial information and supporting documentation.
- Maintain organized financial records and documentation for audits and regulatory reporting.
- Identify opportunities to improve accounting processes and internal controls.
- Perform other accounting and administrative duties as assigned.
Qualifications
- Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred.
- Minimum of 3 years of bookkeeping or accounting experience, preferably in a nonprofit organization.
- Required: Hands-on experience with Intuit QuickBooks Online.
- Experience processing payroll and managing payroll tax reporting.
- Knowledge of nonprofit accounting principles, grant accounting, and fund accounting is strongly preferred.
- Proficiency with Microsoft Excel, Word, and other Microsoft Office applications.
- Strong understanding of accounts payable, accounts receivable, bank reconciliations, budgeting, and financial reporting.
- Excellent organizational skills with strong attention to detail and accuracy.
- Ability to handle confidential financial information with discretion.
- Strong communication and interpersonal skills with the ability to work collaboratively with leadership, staff, and external partners.
Preferred Qualifications
- Experience supporting nonprofit audits and annual tax preparation.
- Familiarity with grant budgeting, reporting, and compliance requirements.
- Ability to manage multiple priorities while meeting deadlines in a fast-paced environment.
