⭐ About the RoleKindred Communications is seeking a highly organized, detail-oriented Recruiting Operations Assistant to support daily candidate workflow, oversee offshore submissions, conduct quick screening calls, and ensure the recruiting process runs smoothly. This is a fast-paced, flexible role perfect for someone who enjoys structure, light communications, and keeping operations running behind the scenes.
You will work closely with the company owner and offshore recruiting team to ensure candidates move quickly through the pipeline, clients receive qualified submissions, and the recruiting process stays organized and efficient.
⭐ Key Responsibilities (2 Hours Per Day)1. Candidate Review (Offshore Team Submissions)- Review all candidates submitted by the offshore team
- Track offshore team’s daily activity and review submission quality
- Verify candidate alignment with job requirements (skills, experience, location, salary)
- Approve, reject, or hold candidates based on criteria
- Maintain an organized pipeline within ATS and client portals
- Send screening templates or questions
- Conduct brief 5–10 minute candidate screening calls
- Confirm salary expectations, location, authorization, and relevant experience
- Add clean, accurate notes into the ATS and tracking systems
- Write short, polished candidate summaries (AI-assisted if needed)
- Submit approved candidates to clients promptly and professionally
- Track all candidate submissions (who, when, which client)
- Follow up on pending client feedback and update statuses accordingly
- Research tools, platforms, job boards, or automation options
- Compare pricing and features in simple summaries
- Explore improvements for ATS, CRM workflows, and recruiting systems
- Stay updated on hiring trends and potential process enhancements
- Identify efficiencies and recommend improvements to streamline operations
- Send targeted LinkedIn messages to potential clients using provided scripts
- Identify small businesses and local companies aligned with Kindred’s ideal client profile
- Build light prospect lists (company, role, contact info)
- Research in-person outreach opportunities such as:
- Local business events
- Small business meetups
- Industry networking events
- Coffee chats, luncheons, and mixers
- Maintain a simple outreach tracker
- Flag engaged or “hot” leads to the owner
- Highly organized and detail-oriented
- Excellent written and verbal communication skills
- Comfortable doing short phone screens
- Strong time management — able to complete tasks efficiently
- Tech-savvy (Google Workspace, ATS, spreadsheets)
- Ability to follow systems, checklists, and structured processes
- Proactive — notices issues and flags them quickly
- Comfortable working independently in a remote setting
- Experience in recruiting, HR, admin, or operations preferred (but not required)
