Position: AR/AP Administrator
Classification: Non-Exempt, Hourly
Reports to: AR/AP Managers
Location: Cypress, CA (on-site)
Pay Rate: $28-$32 per hour

Job Summary
The AP/AR Administrator supports the Finance/Accounting team by processing vendor invoices, managing customer billing, and ensuring timely collection and payment activity. This role is critical to keeping job costs accurate, cash flowing, and records clean for audits and month-end close.
Key Responsibilities
- Receive, review, and code vendor invoices to the correct jobs, cost codes, and GL accounts.
- Match invoices to POs, delivery tickets, and contracts as needed before processing.
- Obtain approvals per company policy and enter AP into the accounting system.
- Prepare weekly payment runs (checks, ACH, credit card) and maintain accurate AP aging.
- Prepare and send customer invoices/progress billings (including retention, change orders, and T&M as applicable).
- Post customer payments (checks, ACH, wires) and perform timely cash application.
- Monitor AR aging and follow up on past-due accounts with soft but firm communication.
- Assist with monthly reconciliations of AP, AR, and related GL accounts.
- Help maintain vendor and customer master data.
- Generate basic reports for Finance and Operations (open PO reports, aging summaries, etc.).
- Maintain organized digital records for invoices, payments, and supporting documents for audits.
- Assist with lien releases, W-9s, insurance certs, and other construction-related documentation as needed.
- Support process improvement projects to streamline AP/AR workflows.

Knowledge and Skills
· Understanding of basic accounting concepts (debits/credits, accrual vs. cash, matching).
· Strong data entry accuracy and attention to detail.
· Proficiency with Excel/Google Sheets (sorting/filtering, basic formulas).
· Strong communication skills when working with vendors, customers, and internal teams.
· Experience with accounting software (e.g., Sage, Viewpoint, QuickBooks, or similar).
· Experience with Pro Contractor experience a plus
Education Qualification and Experience
· 3-5 years of prior accounting experience
· Construction or project-based accounting industry experience is a plus
