Position Summary
The Trailing Docs/Collateral Specialist is responsible for managing, tracking, and obtaining all outstanding post-closing documentation required to complete and perfect loan files. This role ensures that collateral packages are accurate, complete, and delivered to investors, custodians, or warehouse banks in accordance with company guidelines and investor requirements. The specialist plays a critical role in protecting the company’s ability to sell loans and maintain compliance with regulatory and investor standards.
Responsibilities
The starting base salary pay range for this position is $24/hr. The actual base is dependent on many factors such as: work experience, business needs, market demands, and other compensation components. The base pay range is subject to change and may be modified in the future.

The specialist plays a critical role in protecting the company’s ability to sell loans and maintain compliance with regulatory and investor standards.
Responsibilities
- Track, monitor, and obtain all trailing documents required after loan closing, including but not limited to:
- Recorded Deeds of Trust / Mortgages
- Final Title Policies
- Assignments
- Mortgage Insurance Certificates
- Collateral documents required by investors or warehouse lenders
- Maintain accurate records of outstanding collateral and trailing documentation within the company’s loan origination and tracking systems.
- Communicate regularly with title companies, county recording offices, closing agents, settlement agents, and internal departments to obtain required documents.
- Ensure documents are reviewed for accuracy, completeness, and compliance with investor and company guidelines.
- Prepare and ship collateral packages to investors, custodians, or warehouse banks within required timelines.
- Monitor aging reports and proactively follow up on missing documentation to prevent delays in loan purchase or collateral certification.
- Resolve documentation discrepancies, deficiencies, or recording issues in coordination with title and closing partners.
- Maintain organized electronic and physical loan files in accordance with company procedures.
- Assist with collateral audits and investor inquiries as needed.
- Escalate unresolved documentation issues to management in a timely manner.
- Support departmental initiatives to improve post-closing processes and efficiency.
- High school diploma required; Bachelor’s degree preferred.
- 2 years of mortgage industry experience, preferably in post-closing, collateral, or trailing documents.
- Knowledge of mortgage closing documents, recording processes, and title policies.
- Familiarity with investor and warehouse lender collateral requirements.
- Experience with mortgage loan origination systems and document management platforms.
- Strong organizational and time management skills with the ability to manage multiple files simultaneously.
- Excellent communication and follow-up skills.
- Strong attention to detail and problem-solving abilities.
- Detail-oriented and process driven
- Strong follow-through and accountability
- Ability to work in a fast-paced production environment
- Effective cross-functional communication
