The Contingent Office and HR Coordinator is a combination role encompassing general office coordination for our two site locations (one in North Carolina and one in Florida) and administrative responsibilities that will support the Human Resources team, and Executive Leadership team. This position will provide administrative duties required for a successful business. The successful candidate will be responsible for day-to-day management of the business offices, including planning and scheduling events, managing receptionist duties, and assisting with guest and executive travel. They will serve as administrator of our talent acquisition and benefits platforms, coordinate recruiting and hiring, and provide general HR assistance to employees.

- Work with employee-led activity groups to schedule and organize events.
- Maintain and order site refreshments, office supplies, swag items, and office services.
- Assist executive staff with travel arrangements, reimbursements, and scheduling.
- Assist in coordinating and hosting site visits, and managing meeting logistics such as invitations, room reservations, and catering.
- Organize and prepare slide deck and materials for meetings such as town halls.
- Send site-wide and company-wide communications relating to site visits, employee engagement activities, etc.
- Serve as administrator for HR department platforms and admin processes.
- Assist staff with routine HR questions.
- Coordinate new employee onboarding and communications.
- Assist with special projects as needed to support quarterly department goals.

- Bachelor’s degree or equivalent work experience
- 5 years’ experience in office management, executive administration, or human resources
- Excellent communication skills and strong collaborator
- Demonstrated ability to maintain confidential employee and business information.
- Proficiency in MS Office
- Exceptionally detail oriented
- Consistent in following processes and procedures

- This is can be a fully remote position contingently.
- Availability to be office-based at the Gainesville, FL site is preferred.
