Kimi Recovery is seeking an Office Manager to join our team. At Kimi Recovery Center, our mission is to create a recovery center that sets the standards of excellence in the treatment of addiction disorders. We will strive in all that we do to make Kimi Recovery Center a center with excellent care, phenomenal services, and an exceptional commitment to our clients, team, and community.

As an Office Manager with Kimi Recovery, you are the client's first point of contact when they walk in the office. We are seeking someone that has heart, kindness, and empathy with clients that are seeking help.

As an Office Manager your responsibilities include

  • Maintaining client confidentiality and following HIPAA protocol to ensure client's health information is protected.
  • Greet and assist clients and staff in a friendly, professional manner.
  • Answer, screen, and direct incoming phone calls.
  • Manage scheduling, meetings, and calendar management for all staff at Kimi Recovery.
  • Coordinate onboarding, scheduling, and training with future employees.
  • Prepare reports and letters to send to outside agencies. (Physical and digital).
  • Serve as the first point of contact for clients and outside agencies.
  • Knowledge of outside resources that will better help clientele and staff.
  • Knowledge of Kimi Recovery policies and procedures, treatment programs, rules, and expectations to answer questions for outside agencies and for clients that are seeking help. (This will be taught during training)
  • Answer emails, questions, and requests in a timely manner.
  • Support with other staff and clinical supervisor with tasks as needed.
  • Complete intake forms and documents with the client present and help the clients understand the intake forms and process.
  • Complete intake screenings over the phone or in person with clients when they come in for treatment.
  • Input client urinalysis drug test screenings in the electronic health record system.
  • Upload and file client information in a timely manner in the electronic health record system.
  • Verify client's health insurance and eligibility information electronically.
  • Assist clients in screening with other outside funding resources for treatment services.
  • Communicate messages and requests to other staff in a timely manner.
  • Keep an up-to-date client record list and session group list.
  • Attend weekly staff meetings.
  • Knowledge of medical billing is preferred but not required.
  • Communicate confidently and professionally to probation and parole.

Experience

  • Previous experience in a behavioral health office setting is preferred.
  • Previous experience with medical billing.
  • Experience working with Microsoft Office, Microsoft Excel, and other technological platforms.
  • Typing 50wpm
  • Strong communication skills are essential for effective interaction with clients, families, and team members.
  • Knowledge of medical documentation practices is beneficial for maintaining accurate records.
  • Knowledge of substance abuse disorders and experience collaborating with individuals with co-occurring mental health and substance abuse issues is preferred.
