Job Summary:
The Conference & Wedding Coordinator is responsible for ensuring the seamless execution of events hosted at the Resort. This role requires keen attention to detail, exceptional organizational skills, and a customer-centric mindset to deliver unforgettable experiences for our clients and their guests. This role serves as the primary point of contact for event organizers, coordinating logistics, managing resources, and overseeing on-site operations to ensure the success of each event.
Summary of Key Responsibilities:
Responsibilities and essential job functions include but are not limited to the following:
- Responsible for coordinating all needs for banquets, conferences, meetings, weddings, and other special functions held at all Killington Resort facilities.
- Initiate and maintain contact with clients to plan their event from start to finish.
- Collaborate with clients and obtain agenda, lodging requirements, menu selections, room set-up, floor plans, and AV needs.
- Act as a liaison between client and internal departments during the planning process.
- Detail and create banquet event orders (BEOs), distribute information to all departments involved in the execution of the event.
- Participate in weekly BEO Meetings to discuss group needs with internal departments.
- Meet with clients for property tours, planning meetings, menu tastings, etc…
- On site coordinator for weddings and day of events to ensure guest satisfaction.
- Orchestrate wedding rehearsals and ceremonies
- Communicate with accounting department to produce invoices and follow through with collecting payment
- Works with Sales Manager to make sure contract is adhered to
- Perform other tasks as assigned
- Uphold service standards, safety policies, and organizational procedures
Basic Qualifications:
- Associate degree in hotel/restaurant management, business or related field
- 1-3 years’ experience in hospitality or event planning, or a combination of education and experience from which comparable knowledge and skills are acquired
- Must have a broad base of knowledge and skills in food service and/or hotel operations
- Proficiency in Microsoft Office. Familiarity with event and hospitality systems such as SMS, Delphi, Square, Canary, and Prismm preferred
Required Knowledge, Skills and Abilities:
- Must have the ability to work effectively with a wide variety of company personnel, clients and outside organizations
- High attention to detail and problem solving is critical for this position
- Strong computer and organization skills, written and verbal communication with exceptional time management skills.
- A flexible schedule to include nights, weekends, and holidays as needed.
