What are the responsibilities and job description for the Field Operations Manager position at KIKO Company?
The Field Operations Manager reports to the Controller and is responsible for overseeing and directing auction functions and processes. The role manages and supports the auction labor and auction clerk positions, splitting time between the office and in the field. Flexibility and travel are required.
ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES:
- Provide superior guest service to sellers, bidders, guests, and staff.
- Manage the day-to-day operations of all labor and clerk staff.
- Create and maintain the schedule of sales including the management of labor and clerk workforce.
- Lead and coordinate weekly sales meetings to coordinate labor and agent needs with sales managers.
- Review timecards of labor and clerk staff, managing attendance and vacation requests as well as ensuring accuracy.
- Schedule and oversee all auction vendors and equipment such as (but not limited to) mobile chefs, porta johns, dumpsters, security, police, and more.
- Maintain clerk supplies inventory as needed.
- Organize and lead quarterly clerk and labor meetings in office to ensure continual training.
- Train laborers and clerks on process including software use, customer service, cash reconciliation, audits, and more.
- Address ProxiBid disputes, emails, and questions from buyers/bidders.
- Clerk sales as needed:
o Drive a company-owned vehicle to auction sites.
o Conduct pre-sale bidder registration.
o Confirm winning bids and collect bidder payments, issuing receipts as requested.
o Complete various administrative tasks including but not limited to preparing pre-sale paperwork, organizing needed materials pre-sale, maintaining records, and finalizing posts-sale accounting reports.
o Post-sale checkout - collect cash, checks, and credit card payments and deposits from final bidders.
o Calculate percentages for taxes, buyers premiums, commissions, etc. to include in total checkout price.
o Process post-sale accounting, completing cash reconciliation forms ensuring balanced sales for accounting to process.
- All other duties as assigned.
FULL-TIME/SALARY/EXEMPT
REQUIRED KNOWLEDGE, SKILLS, AND DESIRED QUALIFICATIONS:
- Minimum of a high school diploma or equivalent required; bachelors degree preferred.
- Managerial and problem-solving experience highly desired.
- Ability to work a flexible schedule (nights, weekends, and holidays as necessary) is required.
- Strong organizational and analytical skills with attention to detail.
- Self-started with ability to motivate others and improve their quality of work.
- Accurate accounting skills with the ability to quickly calculate percentages and prorate charges.
- Computer/data entry skills of 65 WPM preferred.
- Experience with 10 key calculator and credit card terminals preferred.
- Must be a licensed Notary or willing to become a Notary within 90 days of hire.
- Must have a clean driving record with the ability to travel throughout Ohio and occasionally Pennsylvania or West Viriginia in a company vehicle.
- Must be able to pass a criminal background check.
- Exceptional verbal and written communication skills.
- Required to be able to communicate with employees, co-workers, bidders, agents and guests in a clear, business-like, and respectful manner which focuses on generating a positive, enthusiastic, and cooperative environment.
- Ability to work independently while maintaining a high level of performance, working quickly without compromising quality.
PHYSICAL REQUIREMENTS:
- The ability to life up to 10 pounds regularly, with the occasional need to lift up to 25 pounds.
- The ability to work in various Ohio weather conditions, inside and outside.
- The ability to move safely over uneven terrain, steps, or in construction zones.
- The ability to sit, stand, squat, bend, stoop, twist, walk, and complete repetitive hand, arm, and writing motions for periods of time.
- Must be able to hear, see (close, distant, color, peripheral, and depth vision) and speak.
- Must be able to use hands to type, handle, grip, or feel.
- The ability to comprehend instructions and retain information.
- Must be able to drive a company-owned vehicle to auction sites.
WORK ENVIRONMENT:
This position is required to work both inside and outside in heat/cold, wet/humid, and dry/arid conditions. Office based environment is in a cubicle/shared space in a temperature-controlled building. Field work is both outside and inside a confined area inside a panel van which is temperature-controlled with open window exposure to heat, cold, damp, and/or windy conditions. All settings include low to moderate noise level.
