While each person in this category is required to perform all functions of the job description, each individual will be assigned one or more of the detailed areas as their primary responsibility, while subject to reassignment to other responsibilities at any given time.
Duties And Responsibilities
Order Entry
- Receives new orders daily via EDI System from KII Sales Office and confirms receipt of Walworth and Folsom orders.
- Edits each new order, assigns ship date according to availability of stock, loading capacity, and equipment accessibility. Assigns a carrier to each order.
- Maintains Customer Master File and Master Carrier file and Railroad route file.
- Informs KII of out of stock items and orders that are unable to meet delivery dates.
- Maintains all revisions and cancellations of orders.
- Manually enters new Export orders from KC.
- Orders equipment for the new orders and assigns equipment to the appropriate order.
- Maintains a log of incoming equipment and positions them in the docks or in the lot, and sees to it they are spotted in the dock when needed for loading each day to avoid detention charges.
- Secures truck carriers for direct shipments and confirms delivery appointments with the customers.
- Monitors inventory stock daily and production schedules to insure proper inventory levels required for each day.
- Schedules LTL orders and secures LTL Carriers for pick-ups.
- Schedules export orders and secure Ocean bookings with Forwarding Agents.
- Prepares Bill of Ladings on all shipments and provides data to the various Intermodal Carriers for billing at the Railroad.
- Transmits shipping data to our Sales office through EDI. Maintains and confirms data sent and received each morning.
- Records and maintains production dates of the products shipped on each order.
- Assist truck drivers at the pick up window by logging them in and assigning dock doors for them to back into for loading. Notifies the next loading crew of the next order to load.
- Customer Service representative for tracing shipments and rail cars.
- Prepares Canadian Export Documents.
- Prepares Export Documents for KC orders
- Maintains the files for Bill of Ladings each day.
- Post receivers of production supplies against Purchase Orders daily and generates reports to reconcile Supply Inventory each month/end.
- Post receivers on transfer orders from KII and maintain files of transactions.
- Post Returns, Damages, Employee Sales, Samples, Gifts, and maintain files on Inventory transactions.
- Reconcile Finished Goods Month/End Inventory, and generate Month/End reports for Accounting.
- Generate Invoices to KII and KC for application of “special: Label projects throughout the month.
- Maintains and verifies freight rates to all locations.
- Posts freight invoices and authorizes it for payment weekly.
- Post receivers against Purchase Orders on production supplies daily. Generates reports and reconciles supply inventory each month
- Record and investigate all discrepancies, damages and diversions.
- Authorize and maintain receipts of returned products from customers or truck companies.
- Post claims on a monthly basis after investigating and confirm the charges.
Education & Training
- High School degree or GED
- Knowledgeable in Microsoft Word and Microsoft Excel
- Typing skills must be very accurate
- Good record keeping skills
- Telephone skills
- Customer service skills
- Exposure to shipping process in a manufacturing environment desirable.
- Frequently is required to sit, stand, walk, talk and hear
- Frequently required to reach above shoulders, climb, crouch, stoop or kneel
- Frequently lift and/or move up to 50 pounds usually from floor to waist level, and able to lift 25 pounds repetitively at or above shoulder height
