What are the responsibilities and job description for the Director of First Impressions position at Kids Tooth Team?

SPECIFIC DUTIES
Reception Management
- Open and close dental office according to office protocol
- Check the daily schedule for accuracy and provide schedule to dental team as appropriate
- Answer and respond to telephone calls with professionalism
- Review supplies for reception and submit orders via Amazon
- Schedules, Confirms, and reschedules Appointments
- Answers telephone in 3 rings or less
- Responds to text messages and online chats
- Greets all patients standing up
- Offers parent a drink, guides children to play area
- Manages Patient Records
- Manages Business Records
- Alerts clinical staff of patient arrival and status
- Processes Patient Insurance
- Maintains clean front office and children’s play area
- Assists with marketing activities
Patient Management
- Maintain a professional reception area/office (organize patient education materials and magazines, straighten up the facility, oversee cleaning service schedule and duties, etc.)
- Greet and welcome patients and visitors to the practice
- Check in patients according to office protocol, verifying and updating health information
- Providing and documenting HIPAA Notice of Privacy Practices according to office policies and procedures
- Manage recall and inactive patient system
- Verify Medicaid monthly – switches at 1 of month
- Confirm upcoming appointments
- Ensure all documents are filled out 2 days before appointment
- Schedule patients for efficient use of doctor and staff time
- Check patient back up list to try to fill in cancellation and no-show appointment times
- Schedule follow-up appointments as directed
Records Management
- Gather and accurately record dental, medical and insurance information from patients
- Securely store and handle records in compliance with legal requirements, including HIPAA regulations
- Manage and update patient information via electronic health record system
- Arrange patient information (charts, x-rays, etc.) for the next day’s appointments
- Ensure all forms are completed for visit
- Track cases and referrals to and from other doctors
Insurance
- Keep patients’ insurance information up to date
- Verify insurance and ensure proper entry into Carestack, including frequencies, limitations, downgrading, and fee schedules
- Organize supporting materials for claim forms, such as radiographs or written narratives
- Coordinate Xrays and imaging to and from referring offices when necessary
- Ensure all codes for appointment are calculating at the proper fee schedule
- Ensure that all team members are aware and acknowledge frequencies and limitations such as sealants, fluoride, prophys, etc.
- Records insurance payments and applies them to patient accounts in Carestack
Communications
- Sort, organize and distribute mail
- Coordinate and send new patient and referral thank you notes
- Work with external vendor to coordinate automatic patient appointment and recall reminders
- Organize gift baskets and drop-offs to referring dentists
Schedule building
- Run reports for overdue and inactive patients, build phone and email campaigns to ensure a full schedule
- Organize community events to engage with parents and potential patients
- Maintain short call list and unscheduled treatment list in Carestack and ensure that daily production targets are achieved.
Office Participation
- Be an active participant in team meetings
- Perform other tasks as assigned by the office manager
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
