Job Overview:
The Enrollment & Account Specialist plays an essential role in creating an exceptional experience for both current and prospective families. This position serves as a key member of the Academy’s front-office team and is responsible for supporting enrollment, family accounts, billing processes, tours, and daily administrative operations.
We are looking for someone who is professional, welcoming, highly organized, detail-oriented, and confident communicating with families. The ideal candidate understands that every interaction—from answering the phone to conducting a tour or helping resolve a billing question—contributes to a family’s overall experience with our Academy.
Key Responsibilities
Enrollment & Family Experience
- Serve as a welcoming and professional first point of contact for families, visitors, and prospective families.
- Respond to enrollment inquiries by phone, email, and in person in a timely and professional manner.
- Conduct engaging and informative Academy tours for prospective families.
- Follow up with prospective families and assist them throughout the enrollment process.
- Maintain accurate enrollment records, waitlists, and family information.
- Assist new families with registration paperwork and onboarding requirements.
- Build positive relationships with families and provide exceptional customer service throughout their experience with the Academy.
Billing & Account Management
- Process and maintain family billing accounts accurately and confidentially.
- Assist with tuition payments, account balances, fees, credits, and other account-related transactions.
- Monitor accounts and communicate professionally with families regarding outstanding balances or account questions.
- Maintain accurate financial and billing records.
- Research and help resolve account discrepancies.
- Communicate account concerns or unusual circumstances to Academy leadership as appropriate.
- Handle sensitive family and financial information with professionalism and discretion.
Front Office & Administrative Support
- Assist with daily front-desk operations, including answering phones, greeting visitors, responding to emails, and directing family questions.
- Maintain organized electronic and physical records.
- Prepare documents, spreadsheets, reports, correspondence, and other administrative materials.
- Assist Academy leadership with administrative projects and day-to-day operational needs.
- Maintain a clean, organized, welcoming, and professional front-office environment.
- Communicate effectively with Academy leadership, teachers, families, and outside contacts.
- Assist with additional Academy events, projects, and administrative responsibilities as needed.
Qualifications
Required:
- Previous front-desk, administrative, customer service, or office experience.
- Experience processing payments, billing, invoices, customer accounts, or similar financial transactions.
- Strong customer service and interpersonal skills.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to confidently communicate with prospective families and conduct facility tours.
- Comfortable handling financial conversations professionally and respectfully.
- Proficiency with Microsoft Excel and Microsoft Word.
- Ability to learn new software and technology systems quickly.
- Ability to manage multiple responsibilities and prioritize tasks in a busy environment.
- Professional appearance, attitude, and communication style.
- Ability to maintain confidentiality regarding family, child, employee, and financial information.
Preferred:
- Previous experience in childcare, early childhood education, private school, preschool, healthcare, hospitality, or another family/customer-focused environment.
- Previous enrollment, admissions, account management, or billing experience.
- Experience working with childcare management or enrollment software.

The Enrollment & Account Specialist position is primarily a front-office and administrative role; however, the position may require interaction with children, families, staff, and visitors throughout the Academy.
