Duties
- Greet visitors and clients warmly, ensuring a positive first impression of the organization
- Answer multi-line phone systems promptly and professionally, directing calls accurately
- Manage appointment scheduling and calendar management using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and maintain accurate records to support office operations
- Handle incoming and outgoing correspondence, including proofreading documents for accuracy
- Support office management tasks such as supply ordering, mail distribution, and basic bookkeeping using QuickBooks or similar software
- Provide customer support by addressing inquiries efficiently and courteously
- Maintain a clean and organized reception area to uphold a professional environment
Qualifications
- Proven experience in office management, clerical work, or as a receptionist in a fast-paced environment
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Excellent phone etiquette with experience managing multi-line phone systems
- Bilingual abilities are highly desirable to assist diverse client needs
- Demonstrated organizational skills with the ability to multitask effectively and prioritize tasks
- Experience with data entry, filing systems, proofing documents, and time management techniques
- Knowledge of medical or dental receptionist duties is a plus but not required
- Personal assistant or administrative experience that includes calendar management and customer service skills
