Overview
KCC is a leading nephrology group in New Jersey. For more than 45 years, the KCC physician practices have provided advanced treatment of kidney-related diseases and disorders. The practice has over 20 providers as of November 2025, across 10 convenient office locations in Monmouth, Ocean, and Sussex counties.
Position
The Front Desk Coordinator is a non-exempt position responsible for the administrative duties and front desk workflow to support the management, Nephrologists, and Advanced Practitioners. Duties may include, but are not limited to, administrative patient check-in and check-out, collection of patient information and copays, patient phone calls, keeping the EMR patient schedule up to date, and efficient functioning of the front and back office of a nephrology practice.
Responsibilities
- Assists providers with patient care during all office visits including patients/visitor greetings at check-in, obtains paperwork, documents patient demographics and insurance information, collects and documents co-pays and outstanding balances, and schedules follow-up appointments at check-out. May assist multiple providers over the course of the week.
- Daily administrative duties include opening/distributing/preparing/processing mail, solution-oriented communications prioritized by urgency regarding patient needs through EMR inbox or secure messaging application following proper HIPAA protocols, intake and schedule hospital follow-up requests from the providers, answering incoming phone calls, and responding or escalating to all incoming faxes and appointment requests within 48 business hours.
- Weekly administrative duties include pulling automated reminder confirmations for following week appointments, completing applicable patient reminder calls, mail missed appointment letters, collecting provider signatures, work outstanding registration queues, and completing medical records requests.
- Will assist local leadership with other administrative duties as assigned.
- ·Complies with OSHA, HIPAA, and other regulatory requirements, as well as applicable medical practice policies and procedures.
Experience
- 0-2 years of experience.
- Ability to travel between clinic locations as needed is required.
- Possess excellent customer service skills. Interact in a friendly, professional manner with a wide range of patients, staff, and physicians.
- Attention to detail and ability to work well under pressure. Must be able to function effectively in an environment where it is necessary to perform several tasks simultaneously and where interruptions are frequent.
- Comfort in EMRs and practice systems such as pMD and Epic is preferred but not required.
- Basic Microsoft Office suite skills (including but not limited to Word, Excel or similar program) recommended.
- Strong communication skills necessary to successfully perform the essential functions, duties, and responsibilities of the position.
- Ability to thrive in a fast-paced medical environment.
Job Type: Full-time
Pay: $16.00 - $20.00 per hour
