We’re looking for a detail-oriented Leasing Office & Compliance Assistant to support our Crossville multifamily communities. This role blends leasing, resident support, and compliance oversight to keep our properties organized, compliant, and thriving.
The Leasing Office & Compliance Assistant provides administrative, leasing, and compliance support for the Crossville multifamily portfolio. This position plays a key role in maintaining accurate resident records, ensuring lease compliance, and supporting property management operations through exceptional organization and communication.
Duties and Responsibilities:
- Provides day-to-day administrative and leasing support for multifamily property management operations.
- Conduct routine property inspections to ensure resident compliance with community policies and lease terms.
- Documents and communicates lease violations in coordination with property management leadership.
- Monitors and audits leasing practices, applications, lease renewals and resident files to ensure compliance with applicable state and federal fair housing and disability laws (including ADA and reasonable accommodation/ modification requests).
- Assists with compliance oversight, including maintaining resident files, notices, and fair housing documentation.
- Supports the accounts receivable process, including tracking delinquent accounts.
- Enters and updates resident notes and lease data in the property management system.
- Prepares regular reports for senior leadership on compliance status, trends, incident resolution, and audit findings.
- Provides training and support to leasing and administrative staff as needed.
- Aids in managing leases for prospective and existing residents, including application processing and renewals.
- Fields general inquiries from residents and prospective tenants and ensures timely follow-up and resolution.
- Assists with collections efforts and the preparation of late or demand notices.
- Supports tracking and reconciliation of turn costs.
- Serves as a back-up to the leasing team and floats between properties as needed.
- Performs other duties as assigned.
Required Skills & Abilities:
- Minimum of 2 years experience in multifamily property management compliance.
- Knowledge of federal/state fair housing laws (including protections for disability/familial status) and ADA accessibility standards in multifamily context.
- Strong analytical and documentation skills; attention to detail and ability to track corrective actions.
- Excellent verbal and written communication skills; ability to train staff and liaise with multiple levels of the organization.
- Proficient with Microsoft Office (Excel, Word) and comfortable working with property management systems and other software.
- Excellent interpersonal and customer service skills.
- Ability to remain current on evolving regulatory requirements and anticipate operational impact.
- Exceptional organizational and time management skills and a focus on details.
- Professional, team player who can work with all levels of the organization.
- Proficient with property management software and Microsoft Office Suite.
- Flexibility to perform various tasks with objectives that may frequently shift.
- Professional demeanor, team-oriented but able to independently drive compliance initiatives.
Physical Requirements and Work Environment:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift, bend, stoop, climb, reach, and lift up to 30 pounds without assistance.
- Must be able to walk various terrain and climb stairs regularly.
- Must possess and maintain a valid driver’s license to operate a golf cart and company vehicle.
