What are the responsibilities and job description for the Events & Operations Coordinator position at Keystone Innovation District?
Keystone Innovation District is an independent 501(c)(3) nonprofit established in 2018 to bring together universities, philanthropic leaders, corporations, risk capital, and entrepreneurs with the goal of planning, developing and operating a diverse and thriving innovation community in downtown Kansas City.
Our CoLAB location is where founders, community partners, and neighbors come together for programming, events, and everyday collaboration. It was intentionally designed to create a convergence of diverse perspectives. The layout, flow, and programming of the space are all structured to increase meaningful interaction.
This role is responsible for the heartbeat of that space. As our Events & Operations Coordinator, you keep CoLAB running day to day. You manage the event calendar, coordinate external event clients, plan and execute Keystone's own events, and oversee the facility itself, from inventory to landlord communication. You are the operational backbone of the space.
This role is built to grow. Depending on your strengths and interests, it can expand into multi-location facility management or advance into event planning, operations, or marketing.
Position reports to our Director of Operations.
Front Desk and Community Hospitality
• Keep CoLAB open and welcoming Monday through Friday, 8:00 AM to 5:00 PM
• Greet walk-ins, answer questions, and connect visitors with the right people and programs
External Event Management
• Review and approve external event requests and serve as the main point of contact for event clients
• Coordinate event coverage, including who opens and closes the space and supports setup, sound, and teardown. This can be other team members or our co-residents.
• Support clients on site with logistics like trash, AV, and room setup
Internal Event Planning
• Plan and execute Keystone events from start to finish, including food orders, decorations, and space layout
Event Marketing
• Create graphics in Canva and film short videos to promote internal and external events
• Support event promotion across Keystone's marketing channels
• Support CoLAB and community promotion across Keystone's marketing channels
Facility Management
• Keep the space clean, stocked, and event ready
• Track and order inventory and supplies
• Identify maintenance needs and coordinate with the landlord and vendors
• 1 to 3 years of experience in events, hospitality, operations, front desk, or marketing preferred, but not required. Attitude and reliability matter more than a perfect resume
• A natural host who enjoys talking with people and making them feel welcome
• Organized and dependable, comfortable juggling event logistics, supply orders, and a front desk at the same time
• Comfortable with Canva or willing to learn quickly, plus basic video filming on a phone
• Willing to roll up your sleeves, including setup, teardown, and taking out the trash when events call for it
• Able to work occasional evenings for events
