Overview
We are seeking a highly organized and professional Administrative Assistant to join our Financial Planning team. The ideal candidate will provide essential support across various office functions, ensuring smooth daily operations. This role requires excellent communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently. Experience with QuickBooks, Microsoft Office, Google Workspace, and customer service is highly desirable. The Administrative Assistant will serve as a key point of contact for clients and staff, contributing to a productive and welcoming office environment.

Responsibilities

  • Manage front desk duties including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Assist with client account opening and maintenance
  • Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office and Google Workspace tools
  • Support office management tasks such as bookkeeping, invoicing, and basic bookkeeping using QuickBooks
  • Provide exceptional customer service by responding to inquiries via phone, email, or in person
  • Assist with administrative tasks such as typing correspondence, maintaining records, and supporting project coordination
  • Handle clerical duties including photocopying, scanning, and maintaining organized files
  • Support personal assistant functions when needed, including calendar management and travel arrangements
  • Maintain office supplies inventory and ensure the office environment is professional and efficient

Qualifications

  • Proven experience in an office environment with clerical or administrative responsibilities
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Familiarity with QuickBooks or bookkeeping experience is a plus
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
  • Exceptional communication skills including phone etiquette; bilingual abilities are preferred but not required
  • Previous experience in front desk management or medical/dental receptionist roles is advantageous
  • Ability to handle confidential information discreetly and maintain professionalism at all times
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Office management experience including calendar management and customer support responsibilities is desirable

Pay: $28.00 - $32.00 per hour

Expected hours: 40.0 per week
