About the Practice
We are a growth-focused, patient-centered dental practice seeking an experienced Dental Office Manager to serve as the operational leader of our practice. This role is ideal for a proven office manager who thrives on accountability, systems, metrics, and team development and who wants real influence in how a practice grows.
You will work directly with the admin team to lead operations, elevate the patient experience, and drive measurable results in production, collections, and case acceptance.
Role Overview
The Dental Office Manager acts as the leader and you are responsible for turning vision into execution, leading the team with confidence, and ensuring systems run efficiently and profitably. This position requires decisiveness, emotional intelligence, and the ability to hold teams accountable while maintaining a strong, positive culture.
Core Responsibilities
- Run daily operations and ensure the practice runs efficiently and profitably.
- Lead, coach, and hold the administrative team accountable to performance standards.
- Drive scheduling optimization, patient flow, and case acceptance systems.
- Monitor, analyze, and improve KPIs including production, collections, AR, and reappointment rates.
- Utilize Dentrix for reporting, scheduling, billing, and insurance performance.
- Lead patient communication, recall, and marketing workflows
- Oversee patient engagement tools including online scheduling and forms
- Serve as the escalation point for complex patient and financial conversations.
- Implement and maintain SOPs for front office, billing, and patient experience.
- Your home office will be in Marathon, but you will travel to assist another office we are affiliated with in Key West.
- Partner with the doctor(s) on strategic planning, growth initiatives, and team development.
- Ensure compliance with HIPAA, OSHA, and practice policies.
- Work with management to review the P&L
- Procurement and supplies management

- Is highly skilled in Dentrix and comfortable leveraging technology for growth.
- Can lead difficult conversations with staff and patients professionally and calmly.
- Takes ownership, follows through, and raises the standard of the practice.
Required Experience & Skills
- Proven success as a Dental Office Manager or team leader in a growth-oriented practice.
- Advanced knowledge of insurance, billing, AR, and collections strategy.
- Strong leadership presence with excellent communication skills.
- Ability to build systems, train teams, and enforce accountability.
- Tech-forward mindset with hands-on experience in Microsoft 360.
