Job Summary:
Our Key Title Group DFW - Dectur team is seeking a detail-oriented and highly organized Escrow Assistant to provide crucial administrative and operational support to our Escrow Officers. The ideal candidate will be a proactive team player with excellent communication and problem-solving skills, capable of managing multiple tasks in a fast-paced environment. As an Escrow Assistant, you will play a vital role in ensuring smooth and efficient real estate transactions by assisting with the preparation, processing, and closing of escrow accounts.
Responsibilities:
- Assist Escrow Officers in all aspects of the escrow process, from initial setup to final disbursement.
- Prepare and process escrow documents, including but not limited to opening packages, closing statements, deeds, and loan documents, with accuracy and efficiency.
- Maintain and organize escrow files, ensuring all documents are properly executed, tracked, and stored in compliance with company policies and legal requirements.
- Communicate effectively and professionally with clients, lenders, real estate agents, and other parties involved in the transaction, providing timely updates and responding to inquiries.
- Coordinate and schedule signings, notary services, and other appointments as needed.
- Assist with the preparation of wire transfers, checks, and other disbursements.
- Review title commitments and exception documents, identifying potential issues and escalating them to the Escrow Officer.
- Ensure all necessary conditions of the escrow agreement are met prior to closing.
- Assist with post-closing tasks, such as recording documents and preparing final title policies.
- Maintain a high level of confidentiality regarding sensitive financial and personal information.
- Provide general administrative support, including answering phones, managing emails, photocopying, and maintaining office supplies.
- Stay up-to-date on relevant industry regulations and best practices.
- Perform other duties as assigned by the Escrow Officer or management.
Qualifications:
- Min. 2 years of experience in an administrative role, preferably in the real estate, title, or escrow industry.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to prioritize tasks, manage time effectively, and meet deadlines in a fast-paced environment.
- Exceptional customer service skills and a professional demeanor.
- Ability to work independently and as part of a team.
- Knowledge of basic escrow principles and procedures is a plus.
- Familiarity with relevant software and technology used in the escrow process is a plus.
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
