Position Overview

The Scheduler is the link between the flight schedule and the people who fly it. Every flight we operate, whether a scheduled Denver Air Connection departure, an overnight cargo run, or a short-notice VIP charter, needs a legal, qualified, and rested crew in the right place at the right time. The Scheduler makes that happen.

This is not a typical office job. Scheduling is part of our live operation, and the plan built yesterday is often rewritten before lunch. Weather, maintenance delays, sick calls, charter requests, and training needs all land on the scheduling desk, frequently at the same time. The right candidate is energized by that pace rather than worn down by it.

A Day in the Life of a Scheduler

No two shifts are the same, but most follow a recognizable rhythm:

Start of shift

You begin with a turnover briefing from the outgoing scheduler: what changed overnight, which crews are close to their duty limits, which trips are still open, and what problems are already developing. You then review the day’s passenger, cargo, and charter flying across four aircraft types, confirming every assigned pilot is current, qualified, and legal for the duty planned.

The operation comes alive

Then the phones start. A captain calls in sick for an afternoon departure. Maintenance reports that an aircraft will not be ready on time, pushing a crew toward the edge of its duty day. A thunderstorm cell over the Front Range delays three flights at once. Charter Sales has a client who wants a large cabin aircraft tomorrow morning and needs to know within the hour whether a crew is available. The Chief Pilot needs two first officers pulled from the line next week for a checkride.

Each lands on your desk, often within minutes of the last, and each requires you to stop, work out the duty and rest implications under federal regulations, identify the options, make or recommend a decision, and communicate it to everyone affected.

Rapid, constant communication

Much of the job is communication. On a busy day you will be on the phone with pilots, sending schedule changes, and coordinating with Dispatch, Maintenance Control, Charter, the Chief Pilot, and Training, sometimes while a second line is ringing. Messages must be fast, accurate, and unambiguous; a misunderstood report time or a missed notification can delay or cancel a flight.

Compartmentalization

You will routinely have several unresolved problems open at once. A successful scheduler can set one aside cleanly, handle a more urgent one, and return to the first without losing track of where it stood, keeping calm when several things go wrong together and not letting the stress of one difficult call carry into the next.

End of shift

  • Before you leave, you make sure the next day’s flying is covered, document every change and why, and give the incoming scheduler a complete turnover so nothing is lost between shifts.

The Work Environment

  • The pace can be chaotic. Irregular operations, weather, and short-notice charters can turn a quiet hour into a very busy one with little warning.
  • The office is dynamic. Priorities shift throughout the shift, and the desk works in real time with Dispatch, Maintenance Control, Charter, and Flight Operations.
  • Multi-tasking is constant. You will monitor the schedule, answer calls, track duty and rest limits, and work several open problems at once.
  • Decisions are time sensitive. They carry real consequences for safety, regulatory compliance, on-time performance, and cost.
  • The exposure is broad. Our schedulers work across passenger, cargo, and charter flying rather than in a narrow specialty, which means broad exposure and faster learning.

Key Responsibilities

Crew assignment and schedule management

  • Assign crew members across scheduled passenger, cargo, and charter operations, assessing upcoming demand against duty/rest requirements
  • Ensure all duty/rest times comply with FAR Part 121 or Part 135 and department standard operating procedures
  • Verify crew members are current and qualified for the aircraft type and type of operation before assignment
  • Maintain an accurate record of crew schedules, changes, and the reasons for them

Operational recovery and problem-solving

  • Respond quickly to sick calls, delays, maintenance events, weather, and other disruptions to recover open trips
  • Anticipate developing problems, such as crews approaching duty limits, and propose cost-effective solutions before they cause delays
  • Make sound, time-sensitive decisions with incomplete information, and escalate to leadership when appropriate

Communication and coordination

  • Communicate schedule changes promptly and clearly to crew members and affected departments, and support crew members with schedule questions
  • Work closely with Charter Coordinators to maximize charter availability
  • Coordinate with the Chief Pilot and instructors to schedule training events, checkrides, and recurrent training
  • Coordinate with Dispatch and Maintenance Control on operational issues affecting crew assignments
  • Complete accurate shift turnovers so the next scheduler has a full picture of the operation

Basic Qualifications

  • Works well in a fast-paced, sometimes chaotic environment and adapts to constant change and the needs of the business
  • Strong multi-tasking ability, with the capacity to manage several open problems at once and compartmentalize each one
  • Maintains a high level of professionalism while handling multiple real-time situations
  • Detail oriented and able to work effectively both independently and as part of a team
  • Excellent oral/written communication and problem-solving skills, including the ability to communicate quickly and clearly under pressure
  • Comfortable with computers, Microsoft Office, and learning new scheduling software
  • Must be willing and able to work nights, weekends, and holidays, with occasional on-call or after-hours availability
